How to Integrate QuickBooks with CleanCloud

Connect your CleanCloud account with QuickBooks Online to sync daily revenue and send invoices directly.

Overview

QuickBooks Online is a popular cloud-based accounting platform. CleanCloud’s integration allows you to:

  • Seamlessly sync daily revenue (cash and card payments)

  • Automatically create sales receipts in QuickBooks

  • Send monthly invoices to QuickBooks

⚠️ Support note: QuickBooks integration support is currently limited to the UK, USA, Canada, Australia, New Zealand, and the United Arab Emirates. Contact our support team if you’re outside these regions.


How to activate QuickBooks Online

  1. Go to Settings → Admin → Payments & Finances → Accounting Integration.

  2. Select Connect to QuickBooks.

    • A new tab will open on the Intuit platform.

    • Log in with your QuickBooks/Intuit credentials, or create a new account if needed.

  3. To maintain a valid connection, log in at least once every 100 days.

  4. Once connected, click Map QuickBooks Accounts to allocate sales and tax IDs.

  5. (Optional) Click Send Test End of Day Sync to verify the connection.


Additional settings

  • Automatically sync: Schedule an automated daily sync of your revenue data to QuickBooks as a sales receipt.

  • Show Send Invoice to QuickBooks button: If enabled, this toggle displays a Send to QuickBooks button on the Invoices page in CleanCloud.


Assign QuickBooks ID to customers

To send invoices from CleanCloud to QuickBooks, each customer must have a QuickBooks ID:

  1. Ensure the customer already exists in QuickBooks.

  2. Open the customer’s profile in the CleanCloud CRM.

  3. Enter the customer’s name in the QuickBooks ID field.

  4. A list of matching QuickBooks customers will appear — select the correct one.

  5. The QuickBooks ID will populate automatically, enabling invoice syncing.

Does QuickBooks automatically mark invoices as paid in CleanCloud?

No. If an invoice is paid in QuickBooks, you must manually mark the invoice as paid in CleanCloud.
