In this article, we will walk you through the steps to setting up a Subscription for your store and provide tips on the best way to do so.

About Subscriptions

You can create subscriptions for your customers when they sign up through the customer app or the booking tool - this will guarantee ongoing revenue regardless of the customer's activity.

Creating a recurring subscription plan could be an excellent strategy for building customer loyalty and driving income for your store. Setting up a subscription would allow you to charge your customers a set fee for a period of time, and in return, your customers would receive certain benefits, such as discounted rates for laundry and dry cleaning services.

For example, you could even choose to charge $10 a month to be a part of your delivery service, which will be automatically billed and charged to your customers.

Set Up a Subscription

To create a new subscription, take these steps:

1. Go to Settings > Admin > Payments & Finances > Subscriptions.

2. Click the blue "Add Subscription" button, this will bring up a window.

3. In the new window, it's important to fill in all the fields:

Plan Name:

Name your subscription here.

Description:

Here you describe your subscription in detail to help your customers understand what they are getting with this promotion.

Billing Cycle:

When adding a subscription, you will be able to set the billing cycle to either weekly, biweekly, monthly or yearly. The customers will be billed automatically according to the selected subscription.

Plan Price Description:

Here you can describe the price and billing cycle. E.g: $20/month.

Plan Price:

This is what the customer will be charged.

Put Customer on Price List:

You can assign a price list to your subscriptions. To ensure that customers are not overcharged, it is highly recommended to assign a specific price list to each subscription campaign. For the product, it is recommended to set the price to zero. Learn more here.

Make Free Delivery:

You have the option to allow subscription customers to receive free delivery on their subscription purchases by enabling this toggle.

Sales and Enveriemont Tax Empt:

These toggles can be enabled according to your tax preferences.

Subscription Product Limits:

You also have the ability to set product limits, so if a customer goes over the limit stated then the customer would be charged for this. For this reason, if you have to set limits for your subscriptions, you need to make sure a price list is assigned to the subscription - so your customers don't get overcharged. Learn more here.

4. Once you have added all the necessary information, click on the green "Add Subscription" button.


Ability to ignore order minimum amount when creating a Subscription

When creating a subscription you can now ignore the minimum order amount for pickup and delivery orders, allowing you to still have a minimum order cost for customers not on a subscription while being able to ignore this cost for your subscription-based customers.


Create a Price List for Product Limits

If you decide to add a product limit to your subscription, you can offer a discount for anything above the limit set. To ensure that the overages for that specific product are calculated correctly, it is important to create a price list priced at zero.

E.g.: Let's say your product limit subscription is set to 40 lbs of laundry per month - if the customer goes over it they will pay extra. However, because the subscription is an automatic billing tool you want to make sure the customer does not get charged for the order on top of it. To prevent this from happening, you would create a price list which sets the cost per pound of laundry to zero. That way, your customer will not be wrongly charged, as the product limit preferences will be taken into consideration.

It's important to remember that customers with a subscription plan should place orders regularly in order to make the most of the plan.


Payment Scheduling

Subscriptions can now be created and added to customers in stores without integrated payments. The value of the subscription will be shown on the unpaid invoices page, staff will have to collect the subscription in cash and mark the invoice as paid.

If your store has a payment integration, they will be automatically charged via the payment processor you are set up with (Clearent/Stripe/CleanCloud Pay) and an invoice will be created.

The invoice will appear as paid if the auto charge went through, if not it will appear as unpaid. In order to access the invoices page go to Settings > Invoice.

Note: CleanCloud attempts to charge a card four times before marking an invoice as unpaid. The attempts are scheduled as follows:

1. First attempt: Day 1

2. Second attempt: Day 4 (3 days after the first attempt)

3. Third attempt: Day 9 (5 days after the second attempt)

4. Fourth attempt: Day 16 (7 days after the third attempt)

This means CleanCloud attempts to charge the card four times over a period of 16 days.
