Terms and Definitions

  • Owner Location/Team: The owner location is automatically configured at the top level of your organization, and owner team is set to All Teams. Optionally select an owner location and specific team if applicable. (Reference the location)

  • Where is this Opportunity?: This is where you select where the opportunity is going to take place. You can select one or more locations. (Reference the unit)

  • Opportunity Name: The opportunity name will be viewable to coordinators as they are scheduling the opportunity, or students as they are searching within the find clinical experiences page.

  • Opportunity Description: Optionally add a description of the opportunity. This description will be visible to students as they are applying on find clinical experiences, and to students scheduled on a rotation (along with their coordinators). You can add hyperlinks to external websites in the description as well.

  • Which service is this in?: Optionally select a service line for the opportunity.

  • Experience Types: Optionally select one or more experience types to describe the opportunity. Selecting an experience type(s) can make it easier for students to find an application if posted to find clinical experiences. You can also create reports based on experience type(s).

  • Specialties: Optionally create/tag custom specialties for the opportunity. Assigning specialties can make it easier for students to find an application if posted to find clinical experiences. You can also create reports based on specialties.

  • Staff Visible to Applicants: Optionally select staff members from your site that are visible to students who are applying through find clinical experiences.

  • Lead time: This option restricts users from scheduling rotations within a certain number of days of the start date. Ex: If 7 is entered, students could not be scheduled less than a week in advance of the start date.

  • Visibility and Search Settings:

    • Draft/Public Toggle: When toggled to draft, schools can not schedule onto the opportunity. When toggled to public, schools can schedule onto the opportunity.

      • Note: Drafts marked as "allow students to search and apply" can not be viewed on the find clinical experiences page, whereas drafts marked as coordinator scheduled can still be viewed by schools. However, the participants can not schedule until set to public.

    • Allow Overlap: If selected, rotations will continue to allow applications and new scheduled rotations to be submitted even when the max has been met. However, after the max is met, the overflow of rotations will be in pending status for the clinical site to approve.

    • No new requests when full: When the rotation's max has been met, (configured in the Schools section), no more students can apply/be scheduled onto the opportunity. You can set this based on either submitted or accepted status. If set to submitted, applications and new scheduled rotations stop allowing new submissions when the rotation's max has been met. If set to accepted, applications and new scheduled rotations will continue to come in until you have accepted the rotation's max.


    • Allow students to search and apply from the find clinical experiences page: If selected, the opportunity will be posted to the open marketplace for students to apply to.

      • Allow students to set a detailed schedule (times and dates): If checked, students will be able to select windows of time on the opportunity calendar themselves, as opposed to the clinical site setting the schedule. Students are limited by the schedule and date range specified in the Availability section of the opportunity.

    • + Allow coordinators to schedule rotations for students: If selected, school and clinical site coordinators will be able to schedule students on the opportunity from "Schedule students" on the left navigation menu.

      • Allow internal coordinators to set a detailed schedule (times and dates): If checked, clinical site coordinators will be able to select windows of time on the opportunity calendar. Clinical site coordinators are limited by the schedule and date range specified in the Availability section of the opportunity.

      • Allow school coordinators to set a detailed schedule (times and dates): If checked, school coordinators will be able to select windows of time on the opportunity calendar. School coordinators are limited by the schedule and date range specified in the Availability section of the opportunity.

      • Allow students to request schedule changes when they've been added by someone else: If checked, students will be able propose changes to the schedule pending clinical site approval. Students will still be limited by the schedule and date range specified in the Availability section of the opportunity.

      Note: if both are selected, the opportunity will be available to both coordinators from the schools as well as the marketplace for students to apply to.
