Managing Payments Manually in Clubworx

How do I keep track of my payments if I don't have autopay?

Overview

Clubworx partners with autopayment providers in most countries, which automates payment collection and tracking. However, if you have chosen not to link a Payment processor to your Clubworx account, you can manage payments manually using the Payments page and member profile.


Viewing Membership Payments

All membership payments are visible in the Payments tab. Payments move through the following statuses:

  • Upcoming — Payment is scheduled for a future date.

  • Process Manually — Payment is due within the past 7 days and needs to be marked as received.

  • Failed — Payment was not marked as Paid within 7 days of becoming due.

  • Paid — Payment has been successfully marked as received.

You can use the available filters to narrow your view to specific payment statuses, such as displaying only Process Manually payments that require your attention.

Mark the Payments as paid in bulk

If you are receiving payments via bank transfer, or another payment processing system you should still be recording those payments in Clubworx to take advantage of our reporting, and booking features.

To mark payments as paid in bulk:

  • Go to the Payments page. Use the date filter to narrow down your selection to your preferred dates.

  • Tick the boxes to the left hand side of each payment to select them in bulk. If you'd like to select the whole list at once, use the tick box at the top of the column to select all.

  • A menu will appear at the bottom of the screen. Change the status to Paid (other).

Please note: Payments can also be skipped and rescheduled in bulk.


Viewing and Managing Payments from the Member's profile

Payments can be viewed for an individual member from the member's profile.


At the top right hand side of the member's profile, you can see the Payments tab. From this tab, you can view past and future payments, and use the menu options to mark payments as paid or skipped. You can also reschedule or retry failed payments.
