EasySync (Win) helps you to integrate your e-mail signatures and campaign banners into the Outlook (Win) signatures for your desktop and to keep them up-to-date at all times.
EasySync (Win) is a Windows application that is installed once on the workstations of your employees. This can be done centrally by IT via GPO or independently by each employee. You can also follow the article "How to provide your Colleagues with their Signatures" in order to send your colleagues an automatic email which will give them a link to directions on how to install EasySync for their Outlook (Mac).
ATTENTION: EasySync unfortunately does not work with the Outlook version from the Microsoft Store.
The employee will find the program and a short installation guide in the installation description "Outlook (Win)", which is sent by e-mail if EasySync (Win) is not installed centrally.
After installation, the system recognizes which signatures and campaign banners are assigned to the user at Cognism Signatures. These are automatically created as Outlook (Win) signatures. The system checks every hour whether the data is up-to-date. If necessary, EasySync automatically updates the employee's Outlook signature.
Via EasySync the employee has the possibility to synchronize their signature manually or to update their personal data at any time (if approved by the admin).

Automatic signature sync
The data connection between Cognism Signatures and EasySync (Win) is active. EasySync stores the latest Cognism Signatures signatures in the user's Outlook (Win) every hour. Deactivate this option so that no more signature updates are played out.
Automatic software update
EasySync users will receive a desktop notification as soon as a new version of EasySync is available and can update the program themselves. If this option is deactivated, employees are not notified and EasySync (Win) versions can be distributed centrally via GPO.

Cognism Signatures EasySync can be installed by the system administrator on all desired workstations.
Please keep in mind that employees can be informed about new EasySync updates via desktop notification. If you want your employees to be able to update EasySync later on, please assign the appropriate rights when distributing the software.
Please note that EasySync updates appear regularly and that you should have the latest version of the program installed at all times.
Update EasySync
We are constantly developing our EasySync client further and provide updates at regular intervals. The latest version of Cognism Signatures EasySync can be downloaded here at any time.
If the Cognism Signatures administrator has not deactivated the "Automatic Software Update", EasySync users receive a desktop notification as soon as a new version of EasySync is available and can update the program independently (if EasySync has been distributed centrally, the corresponding rights must have been granted). If this option is deactivated, employees will not be notified and EasySync (Win) versions can be distributed by the system administrator.

If you have defined standard signatures in Cognism Signatures, EasySync will store the corresponding settings in the Outlook of the user. In order for the default settings to take effect in Outlook, Outlook must be restarted.
After restarting Outlook, the settings are active. EasySync checks the settings hourly. If the default signature settings are changed by the employee, EasySync will reset the setting to the status you specified.
