Overview

CreditorWatch Collect allows you to send email reminders from either a CreditorWatch Collect domain or your own authenticated domain. Sending from your own domain ensures emails appear as coming directly from your business, improving trust and deliverability.

To send from your own domain, you need to authenticate it by adding specific DNS records. You can now generate and verify these records directly within the app.

Setting Up DNS Authentication

1. Enter Your Sender Details

  1. Navigate to Settings > Reminders

  2. Enter your Sender Name (e.g., "Accounts Receivable Team").

  3. Enter your Sender Email (e.g., "accounts@mybusiness.com").

  4. Click Send from your own domain

  5. Click Generate DNS Records.

2. Add the Generated DNS Records to Your Domain Provider

After clicking Generate DNS Records, you will see the required DNS records, which typically include:

  • CNAME records for domain authentication.

  • TXT record for SPF (Sender Policy Framework) verification.

You (or your IT provider) must add these records to your domain's DNS settings. See below for general steps around updating DNS records.

3. Verify Your Domain in Collect

  1. Return to Settings > Reminders in Collect.

  2. Click Verify Your Domain.

  3. If the records are correct, your domain will be authenticated, and you can start sending emails from your own domain.

Troubleshooting

If verification fails:

  • Double-check that all records are entered correctly.

  • DNS changes can take up to 24 hours to propagate.

  • Ensure there are no conflicting SPF records (if you have an existing SPF record, append include:sendgrid.net to it instead of adding a new one).

  • Contact your IT provider if you're unsure how to update your DNS settings.

Updating DNS Records

  1. Log in to your domain provider's website

  2. Open your DNS settings or Zone Editor.

  3. Add the CNAME records exactly as displayed in Collect:

    • Copy the Host and Value from Collect and paste them into the corresponding fields in your DNS settings.

    • Ensure the record type is CNAME.

  4. Add the TXT record:

    • Copy the Host and Value from Collect.

    • Ensure the record type is TXT.

  5. Save your changes.
