Overview
Monthly account statements automatically notify debtors about overdue invoices and outstanding balances, helping you improve cash flow and prevent disputes.
Once enabled, Collect emails each debtor a summary of their account activity and a link to your customer payment portal for fast, secure payments.

Step by Step Guide
Step 1: Enable Monthly Statements
Go to Settings › Account Statements.
Toggle Enable monthly statements to on.
Statements will be sent to all debtors with outstanding balances unless excluded (see Step 4).
Step 2: Choose When Statements Are Sent
Use the Send statements on this day every month dropdown to select your preferred date.
If a month has fewer days than selected, statements are sent on the last day.
Statements are sent at the same time as your reminders, using your configured sender details and weekend settings.
To update these settings, go to Settings › Reminders › Configure sending time.
Step 3: Customise the Email Content
Edit the Subject and Content fields to match your tone and branding.
Use placeholders such as
{organisation.name}or{contact.first_name}to personalise your message.Click Send preview to receive a sample email.
The preview uses a randomly selected debtor account from your system.
Step 4: Exclude Specific Accounts (Optional)
In Exclude specific accounts, search for entities you don’t want to receive statements (e.g. those with special terms).
Click the Bin icon to remove an account from the exclusion list at any time.
If no exclusions are added, all debtors with outstanding balances will receive monthly statements.
What Debtors Will See
Each statement email includes:
A summary of the current balance and overdue invoices.
A secure link to your customer portal, where debtors can view invoices and make instant payments (if integrated with Stripe or Worldpay).

Check reminders: Ensure your reminder timing, sender details, and weekend settings are accurate.
Review exclusions monthly: Especially if debtor activity changes frequently.
