Tracking your uploaded files

The File History tab on your agreement history page is designed to help keep track of all the files that you've uploaded for that agreement.

This includes:

  • Signed agreements uploaded to keep alongside your other agreements

  • Unsigned agreements uploaded to collect signatures

  • In-progress agreements uploaded to store as your agreement is negotiated and/or to analyze redlines with Negotiation Hub

Adding Files

Files are automatically added to agreements when they are imported, either through uploading files directly or via the email ingestion process. You can import files from within the agreement details page either by choosing Import to Complete from the Actions menu or using the Import a File link in the File History.

These links are unavailable at certain stages of an agreement (after it's been Completed for instance).

Removing Files

To delete a file from your File History, click the 3 dot menu in the Negotiation Hub column on the far right. Choose Delete File. These files are permanently deleted and cannot be recovered.

Viewing or Generating Negotiation Hub Reports

If your uploaded file is DOCX and your agreement is still In Progress, then you'll be able to view or generate a Negotiation Hub report. There are a few instances when that's not possible.

Note that removing a file will remove the Negotiation Hub report along with it, and may affect other reports (especially if there are multiple versions).

Versions

Any time a new file is uploaded or captured via email ingestion, it's placed in the File History tab for the agreement and assigned a version. The version numbers are sequential and are there to help understand the order in which the files were uploaded and in the Negotiation Hub reports.

When you delete a file from the File History, the remaining files are re-ordered to be sequential. For instance, if you have 3 files (Version 1, 2, and 3) and delete Version 2, your versions will be re-labeled as Version 1 and Version 2.

NOTE: File History is available to be seen by anyone within your Common Paper account, regardless of permission level. Recipients are not able to see the File History for their agreements.
