Setting Up Notification Recipients for a Site

Choose who gets emails and texts about a site's inspections, action items, permits and weather, and which ones they receive.

Overview

Notification recipients are set per site. Each person on the list picks up only the notifications you switch on for them — so a site contact can get permit reminders without being copied on every inspection.

⚠️ Having a role on a site does not put someone on this list. Access and notifications are two separate things. Someone can be an Editor on a site and never receive a single email until they're added here.


Before You Begin

  • You need edit or inspector access to the site.

  • The person does not need a ComplianceGo account. Any active, valid email address can be a recipient — type it into the search box and select it. Searching by name is the shortcut for people who already have an account.


Opening the Site's Recipient List

  1. Open the site.

  2. Under Assignments and Management, click Notification Recipients.

Everyone currently set up appears as a card showing their name and, under Notifications, a list of exactly what they receive.


Adding a Recipient

  1. Click + Recipient.

  2. On the Add Notification Recipient page, use Search by name or e-mail to find the person.

  3. Select them.

Once someone is selected, you get a switch for each notification. Turn on the ones they should receive.

💡 Your switch list may not match this one exactly. Which switches appear depends on what's enabled for your organization, and ComplianceGo carries more notification types than any single organization shows.

📝 If you turn on Additional signatures for inspections, you must add at least one signature number. Saving without one fails with "Please add at least one signature number."

Click Add. You'll see a Recipient Added confirmation, and the person appears on the list with their notifications shown underneath.


Changing or Removing Someone

  • To change what a person receives, open their card by clicking their name or email address, adjust the switches, and click Update. You'll see a Recipient Updated confirmation.

  • To take someone off the list entirely, click the trash icon on their card.

Removing someone from this list only stops their notifications. It does not remove their access to the site — for that, see Managing People and Roles on a Site.


What Happens Next

From now on, ComplianceGo sends this person only the notifications you switched on, only for this site.

Notifications go out by email and, where configured, by text message. They're triggered by the events themselves — an inspection coming due, a threshold being crossed, a permit reminder falling due — not on a digest schedule.

Reminder timing is set on the inspection or permit, not here. This page controls who is notified. When the warnings fire is set on each scheduled inspection (under its lateness pre-warning settings) and on each permit (under Expiration Reminders).


FAQ

Q: Someone has access to the site but gets no notifications.

A: They've never been added to this list. Roles and notifications are separate — add them here.

Q: A person gets some notifications but not others.

A: Only some of their switches are on. Open their card and check which are enabled.

Q: I can't save a recipient.

A: Additional signatures for inspections is switched on with no signature number, which fails with "Please add at least one signature number." Add a number, or switch that notification off.

Q: I can't find someone in the search.

A: They probably don't have a ComplianceGo account — which is fine. Type their full email address into the search box and select it. Adding them under People & Roles instead would grant them access to the site, which a notification recipient doesn't need.

Q: Nobody was told an inspection was due.

A: No one on this list is subscribed to inspection notifications. Check the list and switch Inspection Due on for the right people.

Q: The warnings arrive too late to be useful.

A: The lead time isn't set here — it's set on the thing being warned about. Edit the scheduled inspection's lateness pre-warning settings, or the permit's Expiration Reminders.

Q: Why does my switch list look shorter than a colleague's?

A: The switches reflect what's enabled for your organization, so two organizations can see different lists.
