Overview

Access in ComplianceGo is granted per site. Adding someone to a site and choosing their role decides what they can see and do there — from viewing reports to running inspections.

This article covers roles at the site level. Organization-level roles work the same way but offer fewer options; the difference is explained below.


Before You Begin

  • To add people or change roles on a site, you need the Editor role on that site.


The Roles

Can add or remove companies, sites, inspectors, etc.

Viewer

Can view company/site/inspection info, but cannot make changes. A Viewer can still add an additional signature to a completed inspection.

Inspector

Can start and complete inspections on this site

Backup Inspector

Can also start and complete inspections on this site

📝 A card can also read Inactive. That's an account status, not a role. Someone inactive keeps every role they hold, but can't log in until they're reactivated.

📝 Inspector and Backup Inspector exist only at site level. You cannot grant them across your whole organization — they're assigned site by site.

💡 A person can hold different roles in different places — Editor at the organization and Inspector on one site is perfectly normal.


Opening the Site's People & Roles

  1. Open the site.

  2. Under Assignments and Management, click People & Roles.

You'll see everyone with access to this site, grouped alphabetically. Each card shows their name, their role, and their status.

To find someone already assigned to the site, type in Search People. To see only one kind of role, use the Showing dropdown — it offers All Roles, Editors, Viewers, Inspector, and Backup Inspector.


Adding a Person

  1. Click + Person.

  2. Enter their details and choose the role they should have on this site.

If they don't already have a ComplianceGo account, they're sent an invitation. Their card shows Invitation Pending until they accept.


Changing Someone's Role

  1. Find the person's card.

  2. Click Edit Role & Permissions.

  3. Choose the role you want. It applies straight away — there's no separate save.

The menu offers two rows: Inspector / Backup Inspector / None, and Editor / Viewer / None.

📝 The two rows are independent, so one person can hold a role from each. Picking Inspector replaces Backup Inspector and picking Editor replaces Viewer, but Editor and Inspector together is a normal, deliberate combination.

The change applies to this site only. It doesn't affect their access anywhere else.


Removing Someone From a Site

There's no Remove button on a site's People & Roles. You take a role away by setting it to None.

  1. Find the person's card and click Edit Role & Permissions.

  2. Set the inspector row to None, the Editor/Viewer row to None, or both.

With no role left on the site, they no longer see it. Nothing else changes — their roles on other sites, their organization role and their account are all untouched.

⚠️ If that was their only role anywhere, they lose access to ComplianceGo altogether. Access is carried by roles, so the last one going takes their way in with it. ComplianceGo only warns you about this when you're removing your own last role — doing it to someone else says nothing. Add them to an active site and their access comes back.

If Someone Hasn't Accepted Their Invitation

A card marked Invitation Pending means the person hasn't finished setting up their account. They cannot log into the system until they do.

📝 An invitation expires after 14 days. If someone waits longer than that, the original link stops working — send them a fresh one and they can accept as normal. There's no limit on how many times you can resend.

Click Resend Invitation on their card to send it again.


What Happens Next

Once someone accepts their invitation and holds a role on the site:

  1. They can sign in and see the site.

  2. If they hold Inspector or Backup Inspector, they can be assigned inspections on this site — see Scheduling a Recurring Inspection.

  3. If they hold Editor, they can change site data.

Adding someone to a site does not subscribe them to notifications. That's a separate list — see Setting Up Notification Recipients for a Site.


FAQ

Q: My inspector can't start an inspection.

A: They hold no role on this site that allows it — Viewer is the only role that can't inspect. Add Inspector or Backup Inspector here, which also lets them be assigned the work.

Q: Someone doesn't appear under Assigned Individuals.

A: Same cause: no inspector role on this site. Give them the role, then edit the inspection.

Q: A person's card says Invitation Pending.

A: They haven't finished setting up their account, so they can't log in yet. Click Resend Invitation on their card — the original link stops working after 14 days.

Q: I took someone off a site but they can still log in.

A: That's expected. Setting a role to None affects this site only — their roles elsewhere, and their account, are unchanged.

Q: Someone can't log in at all.

A: Either their invitation is still pending, or their account has been deactivated — which is done from the organization's People & Roles, not here, and applies everywhere. Reactivating them brings their previous roles back, since deactivation keeps them dormant rather than deleting them.

Q: Someone has a role on the site but gets no notifications.

A: Roles and notifications are separate lists. Add them under Notification Recipients on the site.
