This guide is based on the New ComplyFlow (NCF) Dashboard. If you’re using the Old ComplyFlow (OCF) Dashboard, refer to this guide: Managing Your Staff List (OCF)

Efficiently search, assign, and export Staff details on the New ComplyFlow (NCF) Dashboard with these step-by-step instructions.

For detailed instructions on managing individual Staff User details, refer to Managing Staff and to manage their permissions, refer to Managing Permissions for your Staff users.

To access, edit, and manage Staff profiles, including security settings, you require the Add & Edit Internal Employees permission (formerly Staff RW). Ideally, this permission should be restricted to the Main Administrator or Authorised HR Staff.

For detailed information on permissions, refer to the Staff Permissions Overview.

Find Staff Users

1. Once logged in to ComplyFlow, select the module picker button at the top left, then select Staff to open the Staff Module in the Staff List view.

2. Optionally, use the search feature. Enter keywords in the Search bar and adjust them as required. The Search bar works with part-match searching, so you don’t have to write a full sentence to search for Staff Users.

3. To refine your Staff User search, select the Filters button to the right of the Search bar to access the filter categories. Then, select the dropdown of the filter categories you want to use in your search.

Understanding the Staff User Filters

By default, the selected value for each category is All.

  1. Status: Staff User's current status (e.g., Active, Inactive, Pending)

  2. Staff Categories: Predefined staff categories (e.g. Cleaner, Electrician)

  3. Select Site(s): Specific sites or projects

  4. Plant Categories: Equipment or plant types (i.e. Forklift, Drill Rig, Light Vehicles)

  5. Document Categories: Document types assigned to Staff Users (e.g., Electrical Licence, WWCC, White Card)

4. When you’re done selecting the filters, select Done at the bottom.

5. Applied filters appear below the Search bar.

  • To remove individual filters, select the X next to filter label

  • To clear all filters, select Clear all filters

Bulk Assign or Unassign Staff Users to Sites

6. In the Staff List view, tick one or more check boxes to choose Staff Users.

7. Select Bulk Actions > Assign to Sites (or Unassign Sites).

8. In the Select Sites panel, tick one or more check boxes to choose Sites. You can use the search box in the dropdown to find Sites to select.

9. Select the arrow to close the dropdown window, and select the Continue button to proceed.

A confirmation popup verifying the action will appear, as shown below:
