Managing Your Staff List (OCF)

This guide is based on the Old ComplyFlow (OCF) Dashboard. If you’re using the New ComplyFlow (NCF) Dashboard, refer to this guide: Managing Your Staff List (NCF)

This step-by-step guide shows you how to effectively filter, export, and visualise Staff information on the Old ComplyFlow (OCF) Dashboard.

To access, edit, and manage Staff profiles, including security settings, you require the Add & Edit Internal Employees permission (formerly Staff RW). Ideally, this permission should be restricted to the Main Administrator or Authorised HR Staff.

Find Staff Users

1. Once logged in to the Old ComplyFlow Dashboard, select the Staff tab, which defaults to the List view automatically.

2. Optionally, use the search feature. Enter keywords in the Search bar and select Filter.

3. To refine your Staff User search, select the relevant filter category dropdown and values, then select the Filter button.

Understanding the Staff User Filters

  • Status: Staff User's current status (e.g., Active, Inactive, Pending)

  • Staff Categories: Predefined staff categories (e.g., Plant Operator, Technical Expert, Worker)

  • Document Categories: Document types assigned to Staff Users (e.g., Electrical Licence, CAT3 Medical, RIW Card)

  • Projects: Specific projects or sites assigned to Staff Users

  • Plant Categories: Equipment or plant types assigned to Staff Users

  • Employment Status: Custom employment status created in the Organisation

4. In the Staff tab, Staff Users are displayed in a list by default.

Understanding the Staff List Columns

  1. Name: Staff User's full name

  2. Status: Current status (e.g. Active, Inactive, Pending)

  3. Login Email: System login email address

  4. Categories: Assigned categories (e.g., Administrator, Building Manager)

  5. Outstanding: Pending documents and online inductions

5. To visualise the Staff User data, select:

a. View (dropdown) > Staff Category Pie Chart (categorical distribution)

b. View (dropdown) > Staff Category Column Chart (bar chart format)

Print or Download the Staff Category Charts

6. When viewing the chart in the Staff list view, download or print the chart by selecting the menu icon (top right) > Print chart or download your preferred image format.

Export the Staff List to a CSV File

7. To export the Staff User list for further analysis or record-keeping, select the EXPORT TO CSV button.
