Mobile Application Inspections

The ComplyFlow Mobile Inspection App streamlines field inspections. Compatible with the latest iPhone and Android devices, download the app via the provided links.

Get started with ComplyFlow's Mobile Inspection App by creating your first template and checklist. Refer to Adding Inspection Templates

1.Sign in to the mobile app using your Comply Flow email and password. Select the organisation if you have more than one available.

2. To initiate a new Inspection, tap the Start New Inspection button.

3. Select a program from the list to access its available templates.

4. Select Use Template to start a new Inspection.

If no templates are available, please get in touch with your Company ComplyFlow contact.

5. Select OK to confirm and start the inspection with the selected template.

6. Enter the required information and select Continue.

Site is mandatory.

7. The next screen will display four menu areas.

  • Checklist: Contains the checklist categories and items of your selected template.

  • Inspection Details: View title and previously completed information.

  • Add Attendees: Include attendees and collect signatures.

  • Additional Photos: Upload supplementary photos.

8. Select Checklist to conduct the Inspection. Once you have opened the Checklist, select each category to review the questions.

Each category provides a progress snapshot, showing the total questions and completion percentage. To add categories, select +Add Category, located at the bottom.

9. Address each question individually using the quick options βœ“, βœ•, or N/A. Further details can be provided by selecting the arrow (>).

If any Checklist items have been marked as non compliant / Action Required = Yes, an email will be sent out with all pending actions once the inspection is synced. Please see this guide: Closing Actions via the Inspection App

10. You can include additional information by adding Photos, recording Findings, adding Recommendations, changing Priority, manually setting the Due Date, and assigning the Person Responsible. Then, select Done to save the information.

The default text in the Findings field will be displayed depending on which quick option (βœ“, βœ•, or N/A) was selected. However, you can still edit the default text in the Findings field.

11. You will be directed back to the following page to answer the remaining checklist items. Select Back to Categories when you are done answering all the checklist items under each Category.

12. In the Complete Checklist Categories view, you will notice a red dot indicating there is at least one non-compliant item and/or a checklist item that requires action.

13. After completing all the questions, you can navigate back to the menu by selecting the Back button, selecting Add Attendees, and including Inspection participants by selecting the + Add Attendees option.

14. On the following screen, you can utilise the Search Attendees option if the individual is listed in ComplyFlow. Alternatively, you can add people who are not listed in Comply Flow using the + Add External Attendee option.

Inspection participants can only be added for Inspections to the Site where it is completed.

15. When adding an External Attendee, enter their Name, Position, and Company Name. The individual can then proceed to draw their signature on the screen and select Save.

16. To include more photos, navigate to the Additional Photos menu. Then, select the Camera icon and select either Choose photo from library or Take new photo.

17. Select a photo or take a new one, add a comment, and then select Save to apply the changes.

18. Upon finishing the Inspection, select Complete & Sync.

Once an Inspection syncs successfully, it disappears from your device. If it remains visible, a re-sync is necessary due to connectivity issues or unsynced data.

Email Notification After Inspection Submission

Once a User completes and syncs an inspection via the app, an automated confirmation email is sent to their registered email address. This email serves as a record that the inspection was successfully submitted and synced with the system.

19. You can review your Completed Inspection in the Inspections List within the web application. Choose the Inspection that you wish to view and then select Actions > View Inspection.
