6️⃣ Work Tracking within Courted ✍️ What it is, and why it matters

In this article, we'll explore how Courted's work tracking features can keep you organized and streamline your recruiting efforts. If you have used a CRM in the past, this functionality should feel familiar. Watch the video below and read on to learn how important – and easy – work tracking is with Courted.

Summary

Courted has three major ways you can track your work and stay organized:

  • You can Assign agents to yourself or to a colleague from an Agent Profile. We think of the "Assigned To" field as representing who within your organization owns the next followup with a given prospective agent.

  • Each agent has a Status, representing where they stand in your recruiting pipeline. Some statuses include Contacted, Meeting Scheduled, Meeting Held, etc.

  • You can log Interactions and take Notes on agents, which will give yourself and others in your org visibility into what touchpoints have been held with an agent, along with anything else of note, from what split they are currently on to whether they are a Seattle Seahawks fan.

Whenever you find and take action on an agent in Courted, you should do the following 3 things. Each action below is available on an Agent Profile, which you can access by clicking on an agent's name anywhere in Courted.

  1. Assign the agent to yourself or to a colleague

  2. Update their Status to reflect where they stand in your recruiting pipeline

  3. Log any Interactions you have had with the agent and set Tasks to follow up

Prospect Management (Agent Assignment and Status)

What it is

Let's see an example of each one, and talk about why it matters. Assume we are actively recruiting an agent, and we are on the agent's profile. In order to access an agent's profile in your account, simply click on any agent's name. You will notice the "Prospect Management" section of the profile on the left side. Let's assume you called Chris, and Chris is interested in learning more about your brokerage. Given you have spoken with Chris, you should:

  1. Assign this agent to yourself

  2. Update their Status to "Contacted"

Why does this matter?

Assigning agents to yourself is the best way to ensure they do not fall off your radar and out of your recruiting funnel. Once you Assign an agent to yourself, they will be visible in Recruit > Pipeline, along with any other agents assigned to you. You can use Pipeline to see agents you may need to follow up with.

You can filter Pipeline by Status – perhaps you want to follow up with anyone you have held a meeting with for instance.

In addition, you can navigate to the Pipeline RE Activity page and set assigned to you as default. Then, you can congratulate these agents on new listings and closed transactions. This is a great way to engage with agents in your pipeline.


Logging Interactions, Notes, and Tasks

What it is

Going back to the same profile as before; assuming you have previously spoken with this agent, you should log that as an Interaction. Click on the "Interaction" button:

Once you click on Interaction, log any relevant notes you'd like to remember. You can be as detailed as you'd like, or you can simply click "Save" without filling anything in, which will still log that an interaction occurred.

If you would like, you can select "Create a follow up task" at the bottom of the interaction modal.

On the Task modal, write any additional information.

On the due date of the task, it will show up in your Dashboard reminding you to complete it.

Why does this matter?

Logging Interactions gives you and your teammates visibility into what touchpoints have occurred with an agent. These can be viewed on the agent's Activity Log tab.

You can tag a colleague in any Note, Task, or Interaction by typing the "@" symbol and then their name. This will generate an email to your colleague, notifying them that they have been tagged in a note or interaction.

Tasks allow you to efficiently follow up with agents you are recruiting and allow you to move on to the next agent without having to remember all of your followups.
