This guide is intentionally detailed and walks you through everything you need to know (down to the buttons you need to click) to have a successful ongoing weekly routine in Courted!
🕵️♀️ Monday: Find 10 agents to reach out to (10-15 minutes)
1. 🔍 Go to one of your saved searches (Search > Saved Searches > Agents > click on your search)

2. Click on the first name that seems interesting from that search.
3. Scroll through the agent’s profile – what catches your eye?
4. Prep to call the agent (you’re not going to call them yet), but try to understand:
⭐ What are the agent’s strengths?
🚀 How do you think you/your brokerage would help take them to the next level
💬 Why do you want the agent to work for you?
🧰 What do you think you would provide the agent with?
5. Finally, add the agent to a Watchlist to call that week.
Click the folder icon in the upper left of the agent’s profile.
If you haven’t yet created a watchlist, click “create watchlist” and name it “Calls for the week of [XYZ date]”, inputting the correct date for the week.
If you already have the watchlist created, simply click the checkbox next to the watchlist name to add them to it.
Assign the agent to yourself by changing the Assigned To field on their profile.
Repeat this process until you have around 10 agents to reach out to and focus on for the week.
📞 Tuesday: Conduct outreach (15-20 minutes)
1. 📁 Navigate to the Watchlist where you have agents to reach out to (Recruit > Watchlists > specific list you created)
2. Start at the top. Click on the agent you want to reach out to.
3. Call them, and have a structure for your calls.
🗣️ Congratulate/compliment the agent on something.
✨ Tell them why you’re reaching out – something like “I’m always trying to meet great agents in the market.”
⏳ Keep the conversation short: let them know that you'd love to schedule a meeting and just chat.
❓ If they ask “is this a recruiting call,” a fair response could be:
“I honestly don’t know yet! I’m mostly trying to meet great agents, and if we both feel like there’s a fit then we can continue speaking, otherwise happy to just be a friendly face if and when you do your next deal with agents in my office,” OR
“Of course you’re exactly the type of agent I’d love to recruit, but for now all I’d like to do is get to know you, see what you like about your current brokerage, and make a connection.”
4. Before navigating away from the agent’s profile in Courted:
📝 Log the Interaction you just had by clicking “Interaction,” and take any notes.
👤 Make sure the agent is Assigned To you.
📌 Change the agent’s Status to reflect where they are in your pipeline (Contacted, Connected, Meeting Scheduled, etc.)
Go to the next agent on the list, and repeat.
By the end of your outreach, if you navigate to the watchlist you’re working on, every agent should have a:
✅ Last Interaction filled out
✅ Should be Assigned To you
✅ Should have a Status that is accurate.
🔁 Wednesday: Finish outreach + start to follow up (15-20 minutes)
1. Make sure everyone on your Watchlist has been reached out to, and has:
A Last Interaction date
Been Assigned To you
A Status that is accurate
2. Start to conduct followup with agents you have reached out to in the past based on Pipeline Alerts and Pipeline RE Activity.
📣 Go to Pipeline Alerts (Recruit > Pipeline Alerts) and filter to Assigned To = yourself.
🎉 Generate a congratulatory email or text by clicking on the email or text icon on any Alerts you’d like to action on.
🔄 If you don’t have many Alerts, go to Pipeline RE Activity (Recruit > Pipeline RE Activity) and do the same – email/text agents congratulations based on their recent activity.
3. Continue following up via Pipeline.
Navigate to your Pipeline (Recruit > Pipeline) and filter to Assigned To = yourself.
📆 Click the Last Interaction column header to see which agents you have last interacted with the longest ago in the past.
Reach back out to any agents who have not been contacted in the past 14 days.
🧹 Thursday: Continue following up + clean up your Pipeline
1. Continue following up with agents per the Wednesday activities.
2. 🔍 Navigate to Pipeline (Recruit > Pipeline).
3. Filter to Assigned To = yourself.
💡 Tip: Click All Filters, select Assigned To = yourself, and click Set as default so you don’t have to filter that way every time you access the page!
4. 🕰️ Click the Last Interaction column header such that the interactions that are the longest ago in the past are at the top.
5. For agents at the top of the list (who you haven’t interacted with in a very long time), make sure:
Their Status is correct – mark anyone who is not interested as Not Interested, not qualified as Not Qualified, etc.
If you have held a meeting with anyone, mark them as Meeting Held.
💡 Tip: Set defaults for your Pipeline
Filter to Assigned To = yourself and
Status = the active pipeline statuses (e.g., select everything except Not Interested, Recruited & Lost, since you don’t need to focus on those agents as often)
Once you mark agents as Not Interested, Recruited, & Lost, they will disappear from your Pipeline.
🗓️ Friday: Retention + plan for next week!
1. ✅ Get ahead of next week! Repeat the Monday activities and start creating a watchlist for next week if you like.
2. 🏆 Go to Manage > Agent Accomplishments and congratulate agents in your own offices on significant milestones.
Spending just 15 minutes a day in Courted can keep your recruiting pipeline fresh, your follow-ups consistent, and your relationships strong. Stick to this rhythm each week to build momentum, stay organized, and grow your agent network with intention!
