CourtReserve + Brivo Integration

Manage Member Access Into Your Facility Using an Integration With Brivo

Written by Josh Willey

Introduction

Integrate with Brivo’s secure access control system to manage access across courts, doors, and restricted areas. Each member is assigned a unique PIN code tied to their account. The PIN grants entry based on reservation and event times, or based on membership type for members-only spaces like gated courts, an indoor court building, or a members’ clubhouse. This keeps access precisely timed, which improves security and operational efficiency.

For help setting up Brivo outdoors or in locations with limited Wi-Fi, see the article here.

Prerequisites

Before setting up the Brivo integration, make sure you have the following:

  • An active Brivo account and an API key from Brivo

  • A signed required disclosure from CourtReserve

Brivo Account and API Key

If you don’t have a Brivo account yet, fill out the Brivo Sales Request Form to get started. After you submit the form:

  1. Your request is sent to Brivo, and their sales team looks for a local dealer in your area. This takes three to four business days.

  2. A Brivo team member contacts you and connects you with the dealer for a site walk.

  3. Once all installation details are confirmed, you receive a quote.

  4. To receive your API key, you and your Brivo dealer complete a form. For details, see Getting Started with Brivo.

Required Disclosure

You must review and sign a required disclosure, a liability waiver, before access control can be enabled for your organization. To request the required disclosure, email the CourtReserve customer support team at support@courtreserve.com.

Pricing

Integration costs depend on your subscription plan:

  • Launch, Advance: $25/month

  • Momentum: Included

  • Enterprise: Included

Note: For organizations that have not switched to the new pricing model (introduced June 1, 2024), this integration will cost $30/month.

In addition to the CourtReserve integration monthly fee, clubs will also be responsible for paying Brivo's monthly API subscription, as well as the cost of any locks required for their facility. During Brivo's onboarding process, they will connect you with a local lock dealer. Lock pricing will vary depending on the dealer.

Setting Up the Brivo Integration

Enabling Brivo for Your Organization

Once you’ve sent the signed required disclosure to the CourtReserve customer support team and received your API key from Brivo, you can enable the Brivo integration in CourtReserve.

  1. Navigate to Settings on the sidebar and scroll to the bottom row under Additional Features (Add-Ons).

  2. Locate the Access Control Integration feature, enable it, and click Setup.

  3. Select Brivo as the Provider.

  4. Enter the API key you received from Brivo in the Api Key field.

  5. Click Setup Access Control Integration.

  6. Log in to Brivo using your account’s Admin ID and password. To find your Admin ID, log in to Brivo Access, click your name in the sidebar, and click the copy icon next to Admin ID.

Once setup is complete, the status changes from Not Integrated to Integrated.

PIN codes are then generated automatically for all members in your organization.

Creating Groups in Brivo

Groups will be created for each access point players will need access to. To create a group, go to Users > Groups in your Brivo account. After creating a group, assign the desired access point's device to the group by selecting All Devices under Device Privileges. Locate the corresponding device and set its schedule to Always Access. Follow these steps for all access points at your facility.

Think of Groups as “Access Groups.” When a reservation becomes active for a player, they are automatically added to the corresponding Access Group. This temporarily enables their PIN code to unlock any doors associated with that group. Once the reservation ends, access is removed accordingly.

Groups can also be used for membership-based access. When an Allow Access by Membership Type rule is linked to a group, players with a qualifying membership stay in that group for as long as their membership stays active. No reservation is needed. For these groups, door hours follow the schedule you set on the group’s device in Brivo. For example: if your indoor court building should only open to members 6 AM–10 PM, set that schedule on the device in Brivo instead of Always Access.

Discovering Groups in CourtReserve

After groups have been created, return to CourtReserve and click Discovery under the Groups tab on the Access Control Integration page. Discovered groups appear in the Group Name list and become available in the Group(s) field when you create access control rules.

Note: If you create a new group in Brivo later, such as for a members-only space, click Discovery again before creating a rule for that group.

Creating Access Control Rules for Bookings

Access control rules decide which players get PIN code access, and when.

  1. On the Access Control Integration page, select the Rules tab.

  2. Click Create Access Control Rule.

  3. Select a Rule Type and complete the fields below.

  4. Click Save.

  • Rule Type - Choose the type of rule. The fields shown depend on the rule type you select.

    • Allow Pin Code Access - Gives players PIN code access to the selected court(s) during their bookings.

    • Do Not Allow Pin Code Access - Prevents reservations on the selected court(s) from receiving PIN code access. If the rule is time specific, it only applies to reservations during the selected days and times. If a reservation matches both an Allow Pin Code Access rule and a Do Not Allow Pin Code Access rule, the reservation does not receive access. This rule type does not affect membership access rules. The Buffer Minutes and Group(s) fields are hidden for this rule type.

    • Allow Access by Membership Type - Gives players with a qualifying membership access to a Brivo group without a reservation. See Creating Access Control Rules for Membership Types below.

  • Is Rule Time Specific - Check this box to limit the rule to specific days and times, then complete Day of the week, Start Time, and End Time. Leave it unchecked to apply the rule at all times.

  • Buffer Minutes - Reservation Start - Allow players to access your facility a certain number of minutes before their booking. Available for Allow Pin Code Access rules only.

  • Buffer Minutes - Reservation End - Continue to give players access to your facility a certain number of minutes after their booking. Available for Allow Pin Code Access rules only.

  • Court(s) - Select the court(s) this rule applies to.

  • Group(s) - Select the Brivo group linked to the device that gives access to the selected court(s). Required for Allow Pin Code Access rules.

  • Note - Add an internal note about this rule.

  • Is Active - Checked by default. Uncheck this box to turn off the rule without deleting it.

After you save, players receive access based on your active rules.

Creating Access Control Rules for Events

When creating an event, system users can define Access Control rules tailored to that event. Under the event's General Info > Additional Setup section, admins have the option to specify whether PIN code access should be allowed or restricted for the event.

Admins can further customize Access Control rules for individual event dates. To adjust this setting, click Edit on the desired event date, where you can configure whether PIN code access is allowed or restricted for that specific date.

Admins can set a default option for PIN code access on all future events by navigating to Settings > Event Settings > Defaults.

Creating Access Control Rules for Membership Types

Membership access rules give players with an active, paid-up membership access to a Brivo group without a reservation or event registration. Use these rules for members-only spaces, like gated courts, an indoor court building, or a members’ clubhouse. For example: give Premium members access to the gate for Pickleball 1–5 from 8 AM–8 PM, with no reservation needed.

Note: Membership access rules are only available for Brivo. Clubs using RemoteLock will not see this rule type.

  1. On the Rules tab, click Create Access Control Rule.

  2. Set Rule Type to Allow Access by Membership Type.

  3. Complete the fields below.

  4. Keep Is Active checked and click Save.

  • Membership Type(s) - Required. Select one or more membership types. A player qualifies through any selected type. Family members covered by the membership are included.

  • Is Rule Time Specific - Optional. Check this box to limit access to specific days and times, then complete Day of the week, Start Time, and End Time. Day of the week defaults to Everyday. You can also select Weekday, Weekend, or a single day. Times follow your organization’s time zone. To set an overnight window, enter an End Time earlier than the Start Time, and access runs past midnight into the next day. For example: a Start Time of 10 PM and an End Time of 2 AM gives access from 10 PM until 2 AM the next morning. Leave this box unchecked to allow access at any time.

  • Court(s) - Optional. Select the court(s) this space relates to. Courts are for reference only and appear on the Current Access tab. They do not affect who receives access or which doors open. For example: if a gate in Brivo opens to Pickleball 1–5, select those courts so system users can see which courts the group covers.

  • Group(s) - Required. Select the Brivo group whose doors these members should open. Each rule links to one group. To give access to more than one group, create a separate rule for each group.

  • Note - Optional. Add an internal note about this rule.

  • Is Active - Checked by default. Uncheck this box to stop the rule. Players who received access through the rule are removed on the next sync.

  • Note: The Buffer Minutes fields are hidden for this rule type because reservation buffers do not apply. The rule cannot be saved without at least one membership type and a Brivo group. Time-specific rules also need a start and end time.

  • After you save, the rule appears in the Rules grid as Allow Access by Membership Type, with its membership types listed underneath. The Start/End Time column shows Any time or the selected days and times. The Buffer Minutes columns stay blank because buffers do not apply. Click Edit or Delete to manage the rule, the same as other rule types.

How Membership Access Works

  • Within about five minutes of saving the rule, every player with an active, paid-up membership of the selected types is added to the Brivo group. New qualifying members are added the same way.

  • Players are removed on the next sync once they stop qualifying. A player stops qualifying when their membership is suspended, has ended, has not started yet, or is past due longer than the X Days Past Due To Expire Account setting on the membership type’s Pricing tab.

  • A paid membership that has not been billed yet does not qualify. Players receive access once the first billing is processed.

  • Family members qualify through the family’s membership. If a family member has their own individual membership, that membership is used instead.

  • A qualifying player without a Brivo user has one created automatically, with a PIN code.

  • CourtReserve never removes players who were already in the group in Brivo before the rule was created.

  • A player who stops qualifying but has an active reservation keeps access until the reservation ends.

  • Door hours follow the group’s schedule in Brivo.

Current Access Tab

The Current Access tab shows who is in each Brivo group, as last read from Brivo, alongside the access CourtReserve expects. Use this tab to confirm that membership access rules are working, or to find out why a player does or does not have access.

The top table summarizes each Brivo group:

  • Brivo Group - The name of the group in Brivo.

  • Courts (CourtReserve) - The courts linked to the group through any of your access rules, including reservation rules. Groups not used in any rule show Not mapped in CourtReserve.

  • Door(s) - Shows Not available from Brivo, because CourtReserve cannot read which doors a group opens.

  • Users in Brivo - The number of users currently in the group. Shows a dash (-) if the group has not been read yet or the last read failed.

  • Last Retrieved - When CourtReserve last read the group from Brivo. Shows Never if the group has not been read yet.

  • Last Read Result - Whether the last read succeeded, such as OK. Shows Not retrieved yet if the group has not been read, or the error if the read failed.

The bottom table lists each player:

  • Player and Membership Type - The player and their membership type. Brivo users not linked to a CourtReserve player show their Brivo user number, with Not linked as the membership type.

  • Brivo Group - The group the player is in, or is expected to be in.

  • Status - One of the following:

    • In group - The player is in the Brivo group.

    • In group - user suspended in Brivo - The player is in the group, but their Brivo user is suspended.

    • Expected by CourtReserve - add pending in Brivo - CourtReserve has sent the player to Brivo, but Brivo has not confirmed the add yet.

    • Expected by CourtReserve - missing in Brivo - Brivo confirmed the player earlier, but they were not in the group on the last read.

    • Expected by CourtReserve - group not retrieved from Brivo yet - The player qualifies, but the group has not been read from Brivo yet. Click Refresh.

  • Schedule (CourtReserve) - The days and times from the membership access rule, or Any time if the rule is not time specific. (open now) appears when the current time is inside the window. Access that CourtReserve did not set shows Not set by CourtReserve.

  • Source - Why the player is in the group:

    • Membership rule - Added by a membership access rule. Shows the membership type and the rule’s note, if any. If the player also has a reservation, the reservation number and end time are listed too.

    • Membership rule (was already in the group, CourtReserve will not remove it) - The player was in the Brivo group before the rule applied, such as when they were added by hand in Brivo. CourtReserve does not remove these players.

    • Reservation - Added for a booking. Shows the reservation number and when access ends.

    • Not managed by CourtReserve - The Brivo user is linked to a player but has no membership rule or reservation.

    • Brivo user not linked to a CourtReserve player - The Brivo user does not match any player in CourtReserve.

Use the All Groups, All Statuses, and All Sources filters or the Search field to find a specific player. The filter options use shorter labels than the table, such as Expected, not in Brivo, which covers all three Expected by CourtReserve statuses. Large groups can be paged through at the bottom of the list.

The Current Access tab shows the results of the last read from Brivo. CourtReserve reads a group automatically when it adds a player to it, and about once an hour for groups with membership access. Other groups are only read when you click Refresh.

Click Refresh to read all groups from Brivo. Refresh only reads from Brivo and does not change any access. It can be used once per minute for your organization. If a group was read in the last minute, including by an automatic sync, wait a minute and try again.

Note: If no groups have been read yet, the tab shows “Group members have not been read from Brivo yet. Click Refresh to load them.” Click Refresh to load the player list.

Note: Being in a group does not always mean a door opens right away. Door hours follow each group’s schedule in Brivo, which CourtReserve cannot read. PIN codes and API keys are never shown on this tab.

Errors Tab

If there are any errors related to this integration, system users can track them under the Errors tab. Each error shows the Date it occurred and the Message returned by Brivo. Use the Search field to find a specific error. For help with a specific error, reach out to the CourtReserve customer support team or Brivo’s Technical Support.

If a single sync would remove a large number of players at once, CourtReserve pauses the removal and no players are removed. New players are still added. The Errors tab shows a message saying how many players would have lost access, and the CourtReserve customer support team is alerted. To release the hold, contact the CourtReserve customer support team.

Admin Perspective

Pin Code Display on Admin Panel

On the Access Control Integration page, system users can use the Pin Codes tab to search for, view, and reset PIN codes for any member within the organization. Click Reset Pin Code next to a member to generate a new PIN code. This includes PIN codes created automatically for players who qualify through a membership access rule. PIN codes are not shown on the Current Access tab.

Under the Details tab on a member's account, system users can view and reset the member's PIN code.

The View Players/Registrants view includes a PIN Code column, allowing system users to easily see the PIN codes assigned to players for a reservation or event.

On the Event List, click View PIN Codes above the registrant list to see players’ PIN codes.

Player Perspective

PIN Code Display on Member Portal

Players can find their PIN Code under Menu > Personal Information.

Players also see a “Door Access” section on their Check-In Barcode page.

Players can also quickly view their PIN code under Menu > My Bookings, My Reservations and My Events. If a member is in a family, and there is a booking for a family member, players will be able to view the PIN code for the family member booked in the reservation or event.

PIN Codes can also be found on the Reservation Details and Event Details page when viewing the details of a specific booking or registration.

Frequently Asked Questions

Do I need to create PIN codes for my members?

No. After you enter your API key and log in to Brivo, PIN codes are generated automatically for all members in your organization.

Where do players find their PIN code?

Players can find their PIN code under Menu > Personal Information, in the Door Access section of their Check-In Barcode page, under Menu > My Bookings, My Reservations, and My Events, and on the Reservation Details and Event Details pages.

How do I reset a player’s PIN code?

Click Reset Pin Code next to the player on the Pin Codes tab, or reset it from the Details tab on the player’s account.

Can players get in before their reservation starts?

Yes. Set Buffer Minutes - Reservation Start on an Allow Pin Code Access rule to give players access a set number of minutes before their booking. Use Buffer Minutes - Reservation End to keep access open after the booking ends.

Can I turn off door access for a specific event?

Yes. When creating or editing an event, go to General Info > Additional Setup and choose whether PIN code access is allowed. To change access for a single event date, click Edit on that date. To set the default for all future events, go to Settings > Event Settings > Defaults.

Can I block PIN code access on certain courts or at certain times?

Yes. Create a Do Not Allow Pin Code Access rule for those courts, and check Is Rule Time Specific to limit it to certain days and times. If a reservation matches both an allow rule and a block rule, the reservation does not receive access.

Do players need a reservation to access a members-only space?

No. With an Allow Access by Membership Type rule, players with a qualifying membership have access without booking.

How long does it take for a new member to get access?

About five minutes after their membership qualifies. A paid membership qualifies once its first billing is processed.

Why does a player still have access after their membership ended?

They may have an active reservation, which keeps access until it ends. They may also have been in the Brivo group before the rule was created. Check the Source column on the Current Access tab.

How do I turn off a rule without deleting it?

Edit the rule and uncheck Is Active. For membership access rules, players who received access through the rule are removed on the next sync.

Why can’t a player open the door during their reservation?

Check the following:

  • The Rules tab, to confirm an Allow Pin Code Access rule covers that court and time, and that no Do Not Allow Pin Code Access rule overrides it.

  • The group’s schedule in Brivo, which controls door hours.

  • The Current Access tab, to see whether the player is in the group.

  • The Errors tab, for any sync errors.

If you still can’t find the issue, contact the CourtReserve Customer Support team.
