Feature Summary: Generate a list of court reservations for a selected time period.
Use Cases: System users can use the Reservations Report to:
Monitor Court Utilization – See every booking, including court details and player information to understand overall court usage.
Analyze Peak Demand – Use date and time filters to identify the busiest periods, helping optimize scheduling and staffing.
Track Instructor Activity – Filter by instructor to see their lesson volume and identify high-demand pros.
Evaluate Resource Usage – Track ball machine or other resource reservations.
Identify Revenue Trends – Combine payment status and reservation type filters to review paid vs. unpaid bookings.
Spot Recurring Bookings – Use the "Recurring Reservations Only" filter to manage long-term bookings.
Plan for Facility Maintenance – Use the report to identify frequently used courts that may need more maintenance.
SETUP REQUIREMENTS
Log in to the admin dashboard.
Click REPORTS > RESERVATIONS.
Report Criteria
Start Date – The beginning date for the report range.
End Date – The ending date for the report range.
Custom – Generate the report for custom dates.
Day(s) of the Week – Filter results by specific days of the week or choose ALL for all days.
Courts – Select specific courts to include in the report or choose ALL for a comprehensive view.
Ball Machines – Choose a ball machine or resource(s) to view reservations that include the selected resource or choose ALL.
Reservation Types – Filter by specific reservation types (e.g., private lessons, doubles) or choose ALL.
Event Categories – Include only specific event categories or choose ALL to view all events.
Include Court Bookings – Check this to include standard court reservations in the report.
Include Events – Check this to include events like tournaments or clinics in the report. Note: Either Include Court Bookings or Include Events or both must be selected.
Instructors – Filter results by specific instructors or choose ALL for a full list.
Members – Type in a few letters of a member's name to optionally filter the report for specific members.
Payment Status – Select a payment status to include (Payment Not Required, Pending Payment, Paid, Partially Paid) or choose ALL.
Recurring Reservations Only – Check this to limit the report to recurring reservations only.
Group Reservations By Members – Leave this checked to group all members booked in the same reservation into a single line item. If unchecked, each member will appear as a separate line item.
Scroll down to the Setup Report Output heading. The table shows all possible columns that could be included in the report (based on the enabled filters). Check or uncheck boxes to add or exclude report columns.
Viewing the Report
Click the Run Report button (at the top or bottom of the page). A new tab opens with the report in a table format. Click a button to export the report (.xlsx or PDF).
To filter table data, click the filter icon, select an operator (e.g. is equal to), and enter a value. To change the sort order, go to a column heading and change the direction of the arrow.
Saving a Report
Click the Save Report button to keep the report on the platform. Enter a report name and select a Visibility option.
Private means only the report creator can access this filter.
Shared means all users with access to this report type can view and run this filter.
The next time you access the report, use the Saved Reports button to load your saved report settings.
