Personalize Automated Emails Sent to Players

INTRODUCTION

Feature Summary: The Custom Email Messages feature allows admins to append personalized content to certain automated system emails sent to players. These messages can be added to specific email types (e.g., Reservation Create or Event Reminder) and can appear either at the top or bottom of the email body.

This is a useful way to deliver important notices, promotional messages, or event-specific details directly within routine emails.


Use Cases:

  • Add a note about "what to bring" to reservation confirmation emails.

  • Include additional notes on policies in event registration confirmations.

  • Share promotional announcements or sponsor messages in event reminders.

  • Append special instructions to stringing job completion emails.


SETUP REQUIREMENTS

  1. Log in to the admin dashboard.

  2. Click SETTINGS on the side menu.

  3. Go to RESERVATION SETTINGS row.

  4. Click the Email Messages icon.


Creating an Append:

Click the green + Create Email Message button to begin adding a custom message.


Email Type: This dropdown lets you choose which system email your custom message will be added to. Available options include:

  • Reservation Create – Sent when a reservation is made.

  • Reservation Update – Sent when a reservation is modified.

  • Reservation Cancellation – Sent when a reservation is canceled.

  • Payment Receipt – Sent upon successful payment processing.

  • Event Registration – Sent when a player registers for an event.

  • Event Registration Cancellation – Sent when an event registration is canceled.

  • Event Reminder – Sent ahead of scheduled events.

  • Reservation Reminder – Sent before scheduled reservations.

  • Stringing Job Completed – Sent when a stringing job is marked complete.

​​Position: Choose where your custom message should appear in the selected email:

  • Top – Message is added before the default system content.

  • Bottom – Message is added after the default system content.

Tip: Use "Top" for urgent or attention-grabbing notices. Use "Bottom" for supplemental or informational content.

Custom Message Editor: The text editor allows you to type and format your custom message.


EXAMPLES

In this example, the admin used the Email Messages append feature to add a custom message to the Event Registration Cancellation email. They selected the “Bottom” position, and the text shown in purple reflects the content that was configured.
