INTRODUCTION

Feature Summary: The Network Membership Transfer feature allows clubs to seamlessly transfer a member's network membership from one participating location to another in the network—provided both locations are authorized to sell the same membership type. This transfer retains the original billing cycle and supports the inclusion of entire families, if applicable. Designed for operational efficiency, this tool simplifies member relocations without disrupting membership subscription.

Use Cases:

  • Member Relocations: When a member moves to a different city or switches their home club, the membership can be transferred to their new location within the network.

  • Family Moves: Families that relocate to a new location within the network can have the membership, including all linked family profiles, transferred in one action.

  • Avoiding Manual Data Entry: When a member doesn’t exist at the new location, their profile is automatically created upon membership transfer, streamlining the transition.


OVERVIEW

Transferring network memberships allows administrators to move a membership from the location that sold or currently owns it to another authorized location within the network. The section below outlines the transfer process for a member.

Accessing the Transfer Option

  • Navigate to a player's Membership tab (Individual or Family).

  • Click the Transfer Membership button.

    • Note: Members with an outstanding balance or those that are in a suspended or expired membership status cannot be transferred (the Transfer Membership button will be disabled). Admins must resolve these issues first.

  • Select Destination: Select the new location from a dropdown list of eligible sites to transfer the network membership to (only the location(s) authorized to sell this membership will display as options).

    • The admin is presented with a warning that once transferred, the origin location will no longer manage the membership.

    • Click Transfer.

Once the transfer is confirmed, the system performs the following actions:

  • Transfers the membership to the selected destination location. The origin location is updated to reflect that the membership is now part of the network counterpart. The membership pricing will update to match the rates of the new location, which may differ from the original. See example below.

  • Maintains the original billing cycle and next payment date, ensuring that the member’s billing schedule remains uninterrupted.

  • Does not transfer any financials from the original location to the new one. This means no refunds, prorations, or pre-existing fees are moved automatically. If needed, these adjustments must be processed manually.

  • Automatically creates a new member profile in the destination location if the member does not already exist there.

  • Transfers all linked members for family memberships. If those family members do not already exist at the destination location, new profiles are created automatically.

Audit Logs and Transparency

Each transfer is recorded in the Audit Log of both the originating and destination locations. For example, member creation events at the destination location will list the reason as "Network Membership Transfer" for clarity and traceability.


ADMIN PERSPECTIVE

In this example, the player holds an Individual All Access Gold membership that originated at the Winter Garden location. They wish to transfer this membership to the Clearwater location. To initiate the process, a Winter Garden admin navigates to the member’s Membership tab and starts the transfer from within the Winter Garden account.

After transferring the membership to the new location, the Winter Garden location displays the following as it is now the network counterpart and not the owner of the membership:

The Clearwater location is now the primary location and owns and manages the membership. Updates are recorded in the Audit Log at both locations.
