INTRODUCTION

Feature Summary: The Public Bookings Leads Report provides clubs with a complete view of all guests who have booked courts or registered for events through Public Bookings. This report captures key contact information and visit history, allowing clubs to better understand public engagement and identify opportunities to convert guests into recurring players or members.

Once Public Bookings is enabled, the Leads Report is automatically available and begins collecting data immediately - no additional setup is required. Clubs can filter and export lead data, track repeat visits, and use this information to support outreach, marketing, and growth initiatives.

PREREQUISITES

This report is available to all facilities using Public Bookings. Once enabled, lead data is captured automatically with no additional configuration required. For a step-by-step guide to enable Public Bookings, see here.


OVERVIEW

This article explains the data available in the Public Bookings Leads Report, how that data is captured, and how it is presented within the report. It also outlines how visit counts are calculated and what information is shown for each lead.

In addition, this guide highlights planned enhancements that will expand filtering, reporting, and outreach capabilities in future releases.


How the Report Works

The Leads Report tracks public booking activity and aggregates it by phone number, ensuring accurate visit counts even if a guest enters slightly different details over time.

Each time a public user completes a reservation or registration, their information is captured and reflected in this report.


Using the Report

The Leads Report can be accessed from the left navigation under the Reports section. Navigate to Reports > Leads.

Filters

Currently, the report can be filtered by Last Visit Date:

  • Last Visit Date From / To: Filters results based on the most recent date a lead visited your facility via a public booking.

  • Interval Selector: Quickly select common time ranges (e.g., Last Month) to analyze recent activity.

Once filters are applied, click Run Report to generate results.

Report Outputs

The Leads Report includes the following information for each public booking guest:

  • First Name

  • Last Name

  • Phone Number

  • Email (if provided)

  • Last Visit Date: the most recent date the guest booked a court or registered for an event.

  • Booking Type: the reservation or event associated with the guest’s most recent visit.

  • Total Visits: the total number of times the guest has used Public Bookings.

This output helps clubs understand who is engaging with Public Bookings, how recently they visited, and how frequently they return.

Note: Leads are grouped by phone number. The First Name, Last Name, and Email shown reflect the most recent information entered for that phone number, while Total Visits represents all public bookings associated with it.

Using Search and Export Tools

Use the Search field to quickly filter the Leads Report by booking type or keyword, making it easy to find specific entries. The Export to Excel and Export to PDF buttons allow you to download the report for offline review, sharing, or record-keeping, using the current data shown in the report.


Planned Enhancements

We’re actively expanding the Leads Report to provide deeper insight and more powerful outreach tools. Upcoming enhancements include:

  • Total Spent - A new column showing the total amount a lead has spent through Public Bookings.

  • Lead Created On - A column displaying when a lead was first captured via Public Bookings.

  • Created On Date Filtering - New filters that allow clubs to segment leads based on when they were initially created.

  • Direct Outreach from the Report - The ability to use CourtReserve’s Bulk Text and Bulk Email tools to contact leads directly from the Leads Report.
