The Benefits of Offering a Family Membership Plan

INTRODUCTION

Feature Summary: Learn about the Families feature.

Use Cases: Family groups in CourtReserve benefit from centralized management, easier scheduling, and streamlined communication across all linked members. When offered, a Family Membership can provide additional value, but it is not required—families can still be linked in CourtReserve even if each member holds their own Individual Membership.


Open the Families Page

Go to the side menu and click MEMBERS > FAMILIES. CourtReserve shows a table with all families.

The Families page provides club managers and system users with a centralized view of all family accounts in the system. It displays key information at a glance and offers detailed management tools for each family.

Family List Grid

At the top of the page, you’ll find a sortable and filterable grid showing all families. The grid includes:

  • Name – The family name.

  • Family ID – A unique identifier for each family.

  • Membership – Current family membership plan name and status.

  • Family Members – The total number of people linked to the family.

  • Amount Due – Any outstanding balance owed by the family.

  • Available Credit – The amount of account credit the family has available to use.

    Next Billing Date – The upcoming date on which the family will be billed for their family membership.

Family Details and Management Tabs

When you select a family from the list, the lower section displays a set of management tabs where you can view and update all aspects of the account:

  • Details – Basic information of Family Name and Family ID.

  • Family Members – A list of all members associated with the family and their basic information, like email address, family role, and membership. Click Details to go directly to each member profile.

  • Membership – Current family membership plan if applicable.

  • Reservations – Upcoming reservations for all family members.

  • Events – Registered events for the family.

  • Billing Info – Family billing and fee information.

  • Waivers / Agreements – Required waivers and their signing status for each family member.

  • Notes – Internal notes visible to system users.

  • Attendance Tracker – Attendance logs and check-in history for the family members.

  • Audit Log – Opens a history of changes made to the family record.

Each tab provides access to essential actions, history, and configuration for the selected family.


Family Benefits

Here are the major benefits—for both club system users and players—of using the Families tool:

  • Easier Management: Group all members of a family under one shared account and membership plan for streamlined oversight.

  • Simple Setup: System users can create a Family membership plan and assign it to individuals in just a few clicks. If needed, they can apply custom booking rules at the family level to prevent spouses or children from booking courts on each other’s behalf.

  • Parental Control: Parents and system users can manage and adjust the permissions their children have in the public member portal.

  • Easy to Expand: Primary family members can quickly add new family members as needed.

  • Simplified Billing: All billing and charges can be consolidated at the family level for a smooth, unified payment experience.
