Promote your lessons and grow your player base
OVERVIEW
As an instructor, most of what you need day to day lives in one place: the My Schedule screen. From there, you can see your assigned activities and manage your own availability. Beyond your schedule, this guide also covers a few practical ways to market yourself and fill more lesson slots.
Finding Your Schedule
Log in and go to Schedulers > My Schedule to see everything assigned to you: lessons, reservations, events, and any unavailable time you've added. Switch between Weekly and Daily views, and use the date arrows to check past or upcoming schedules.
If you have booking permissions, you can also click an open timeslot to book a lesson directly. See Instructors: My Schedule Screen for the full walkthrough.
Managing Your Availability
From the My Schedule screen, you can add blocks of unavailable time directly, such as blocking off a day for personal time. For anything beyond a quick block, such as setting up your recurring weekly hours for the first time, check with your admin, since your base availability is configured on your instructor profile.
What Is Book a Pro?
Book a Pro is CourtReserve's self-service scheduler that lets members book lessons with you directly from the member portal, based on your real-time availability. Instead of a member calling or emailing to check if you're free, they can see your open times themselves and book on the spot.
If your club uses Book a Pro for your lessons, this means:
Members can book you without going through the front desk or waiting on a reply
Your schedule stays accurate automatically, since bookings pull from the availability you and your admin have set
Depending on your club's setup, some lesson types may require your (or your admin's) approval before a booking is confirmed
Setting up and configuring a Book a Pro scheduler is handled by your admin, or by you if you have the proper system permissions, but keeping your availability current is what keeps it working well for you. Ask your admin whether your lessons are booked through Book a Pro, the admin panel, or events, since that determines how members find and book you.
Booking Example:
Below is an example of a club using Book a Pro. The player selects Book Lessons, then sees any Book a Pro schedulers set up at their club. From there, they can book directly with an instructor based on availability. This view shows the player your available lesson types, along with default duration, pricing, and player capacity, based on the settings configured for each lesson type.
Marketing Yourself and Filling Your Schedule
A few ways to get more eyes on your availability and fill more lesson slots:
Share your event booking link. If your lessons or clinics are set up as events, ask your admin for an event filter with your instructor name selected, then share that unique URL on the member portal and with prospects on social media or in outreach emails.
Example of the link on the member portal:Example of what this link could look like in an email to members:
Share your lesson booking link. If you're on a Book a Pro scheduler, ask your admin to confirm your availability link is visible on the member portal so members can book you directly.
Post on social media. Include your booking link directly in the post so followers can book in one tap.
Ask for referrals. A quick "bring a friend" mention at the end of a lesson is one of the easiest ways to fill open slots.
Create a QR code. Point it to your booking link and post it at the front desk, on a bulletin board, or on your business card.
Share player wins. With a player's permission, a quick photo or story about their progress makes for genuine, low-effort content.
Offer an intro rate for first-timers. Ask your admin about setting up a distinct lesson type or event with introductory pricing if you'd like to track new-player conversions separately.
Offer a lesson for new members. Ask your admin about adding a one-time package with a free introductory lesson for new members, making it an easy first step to book with you.
Create a bundled discount. Ask your admin about setting up a lesson package with a built-in discount or incentive, for example, buy a 5-lesson package and save $25, to encourage players to commit to more sessions up front.
Ask your admin about a targeted email. If your club uses Bulk Email, targeted sends (by rating range, member group, or other filters) tend to perform better than a general announcement.
