How Member Credits and Balances Are Processed for Payments

This article describes how member credits and balances are processed for payments via CourtReserve.

Transactions and Credit Balances

Once a member has a credit in their account, when admin is creating a reservation or is registering them for an event, that credit will be automatically used on the first fee put towards the member's account.

However, for events or registrations that require upfront payments, the process is a bit different. If members are registering for an event or booking a court from the Member Portal and they have a credit balance on their account, they will be able to choose if they would like to use another form of payment or use their credit balance on their account to pay these fees.

NOTE: It is important to remember that the member's ability to choose their version of payment (credit balance or other) is ONLY when they are booking a court or registering themselves for an event via the Member Portal - otherwise, their credit balance will be processed automatically towards fees.

FAQ:

"What happens if I decline members that have already paid for an event?"

If you decline or remove members that have already paid for an event, their credit card will automatically be refunded.

If you decline or remove members that have already paid in another form (cash, check, etc.), the refund will go as a balance on their club account.

NOTE: This automatic refund will occur even if the club has set up 'Do not allow refunds to balance if CC was used' in their club's settings.

What the club would have to do if the balance refund did not work, is contact their credit card provider to issue the refund as this is NOT something that can be done through CourtReserve.
