Track and Analyze Club Transactions with Ease

INTRODUCTION

Feature Summary: Generate detailed reports on transaction activity.

Use Cases: Easily create reports for any time period, with flexible filters for transaction type, payment status (paid or unpaid), and other key metrics.

SETUP REQUIREMENTS

  1. Log in to the admin dashboard.

  2. Click TRANSACTIONS > TRANSACTION LIST.

Report Criteria

Enable any combination of filters to narrow the results in the report.

  1. Session(s) - Select one or more event sessions to include in the report or choose ALL.

  2. Start Date - Set the starting date for the report period.

  3. End Date - Set the ending date for the report period.

  4. Custom - Define a custom date range for the report.

  5. Reservation Date From - Filter transactions based on the earliest reservation date.

  6. Reservation Date To - Filter transactions based on the latest reservation date.

  7. Transaction Types - Choose the types of transactions to include, such as fees, payments, refunds, or credits or choose ALL.

  8. Transaction Sub-Types - Narrow down the report by selecting specific transaction sub-categories or choose ALL.

  9. Payment Types - Filter transactions by payment method, like check, credit card, package punch, or cash or choose ALL.

  10. Show Only Paid Transactions - Limit the report to transactions that have been paid.

  11. Show Only Unpaid Transactions - Limit the report to transactions that remain unpaid.

  12. Show Taxes - Include tax amounts in the report.

  13. Show Partial Paid Fees Only - Limit the report to partially paid fees.

  14. Show Punch Value - Display the dollar equivalent for transactions involving punch passes. Note: This option is only available if you have Packages enabled and have selected Transaction Types of Payment - Punch and/or Refund - Punch, and/or the Payment Type of Punch (see example below).

  15. Family - Filter by family accounts, if applicable or choose ALL. Select and add a Family by typing in the family name or family i.d. number.

  16. Member - Filter by specific Members/Players or include all Members. Select and add by searching by name, email address or member i.d. number.

  17. Reservation Types - Include specific types of reservations or choose ALL.

  18. Instructors - Filter transactions based on the associated instructor or choose ALL.

  19. Event Categories - Limit the report to transactions linked to specific event categories or choose ALL.

  20. Tag(s) - Use Tags to filter transactions or choose ALL.

  21. Memberships - Filter by specific Memberships to include or choose ALL.

  22. Revenue Categories - Select certain Revenue Categories to include or choose ALL.

  23. Recurring Fee(s) - Include transactions related to select Recurring Fees or choose ALL.

Generating a Report

Click the Run Report button to produce a list of transactions based on the filters and reporting period.

Each report may have a slightly different layout, depending on the data presented. For instance, the report below shows refunds with credit to balance for the current month. The table includes the total amount refunded.

The report below shows unpaid transaction fees for the current month. The Actions column gives system users a chance to pay or void the fees.

Navigating the Report

Organize - Click and drag a column to the header row to group the report by that column. For example, grouping by Payment Type is shown below.

Expand - Click the + sign to reveal detailed information for report sections or individual transactions.

Downloading Report

Click the Export Grid button to save the table as an .xlsx file. The Grid includes more detailed information, including all visible columns and possibly hidden ones (e.g. Transaction ID), depending on the grid settings.

Click the Export as List button to save the table as an .xlsx file. The List exports the data in a simplified list format.
