Organization Settings
This article covers each setting under the Organization Settings row in the Admin Panel. To access it, navigate to SETTINGS—it’s the first row of icons in the panel. Each icon represents a group of related settings you’ll configure for your organization. The steps below walk you through all ten options.

1. General 
In the General setup section, you’ll configure your club’s core settings—including name, contact information, time zone, basic reservation rules, email preferences, visibility settings, and more.
The General section includes foundational settings that define how your organization operates within CourtReserve. These include:
Organization Information
Club/organization name
Phone number
Address
Organization Layout
Time format, date format, and currency
Reservation Default Settings
Scheduler time intervals
Allowing conflicting reservations
Allowing multiple reservations in the same time slot
Email Settings
Set global email preferences for system communication

2. System Users
The System Users section displays all current Admins, Sub-Admins, Instructors, and Coordinators at your club. From here, you can manage user accounts—create new users, update existing ones, or remove them as needed.
Key Functions in the System Users Section:
Create, edit, or delete Admin, Sub-Admin, and Instructor accounts
Manage system permissions for Sub-Admins and Instructors
Set and update Instructor availability
Perform password changes or resets for any system user

3. Hours of Operation
The Hours of Operation section allows you to define the daily schedule for your club or facility. Here, you can:
Set opening and closing times for each day of the week
Indicate closed days by checking the appropriate box—ideal for clubs that don’t operate 7 days a week
These hours act as a global setting and directly impact what’s available for members to book and when. If you need to create exceptions for specific schedulers or events, you can customize those separately using other features but they need to be within these general hours of operation.
Keeping your hours of operation accurate ensures consistency across court availability, reservation rules, and member expectations.

4. Kiosks
The Kiosks feature in CourtReserve offers two primary functions: Reservations and Self Check-In. Kiosks are browser-based and can be accessed on tablets, desktop computers, or other web-enabled devices using a unique URL. Once the kiosk URL is opened in a browser, system users can activate the kiosk by entering the PIN code created during setup.
Reservation Kiosks
Reservation kiosks allow players to book specific courts and reservation types directly from the kiosk.
Self Check-In Kiosks
Self Check-In kiosks provide a quick, contactless way for players to check in for existing reservations, lessons, or events. Players can either enter their Player ID or scan a barcode—no staff assistance required.
To launch a kiosk on a web-enabled device, paste the URL into a browser and enter the PIN code you created during setup.
Instead of creating reservations, the Self Check-In kiosk allows players to check into an existing reservation, lesson, or event by scanning a barcode or manually entering their Player ID number.

5. Email Settings
The Email Settings tab is key to customizing your club’s email communication. Proper setup ensures clarity, professionalism, and consistent branding. Here are the main fields to configure:
From Name - The name that appears in the “From” field of outgoing emails.
Best Practice: Use a recognizable name like “Sunnyvale Racquet Club” to help members quickly identify your messages and avoid spam filters.Reply-To Email - The address where replies to system emails will be sent.
Best Practice: Use an actively monitored inbox like info@yourclub.com to ensure prompt responses to member questions.Email Logo - Displayed at the top of all outgoing emails.
Best Practice: Upload a high-quality logo that reinforces your club’s brand and keeps emails looking clean and professional.Event and Reservation Reminders - Automated reminders for upcoming bookings or events.
Best Practice: Enable these to reduce no-shows and keep members informed. Choose a reminder schedule that aligns with your club’s needs (e.g., 1 day or 2 hours before).
Setting up these email settings helps ensure your communications are consistent, informative, and well-branded—while also improving the member experience and reducing administrative overhead.
6. Calendar Feed
The Calendar Feed feature allows you to sync CourtReserve events and reservations with your personal Google, Outlook, or Apple calendar.

7. Global Announcements
Global Announcements allow system users to post news or updates directly on the Member Portal. Announcements can be visible to all portal visitors or limited to logged-in members only. Use this feature to share important club news, event updates, policy changes, or promotions.

8. Check-in Statuses 
The Check-In Statuses feature allows system users to create custom check-in labels (e.g., "Late Arrival" or "No Show") for use on the admin side of CourtReserve.
Switch the feature to Enabled to create and manage custom statuses.
These statuses are only visible and applicable from the admin panel.
Note: Self check-ins via kiosk will always record as a standard check-in—custom statuses do not apply.
Admins can revert a check-in by clicking the counterclockwise arrow, which will mark the player as not checked in.
This tool helps staff track attendance details more accurately for internal reporting and operational insights.

9. Two-Factor Authentication
Two-factor authentication provides an extra layer of security for system users by requiring a second form of verification during login. When enabled, users must enter a code sent to their email after entering their password, reducing the risk of unauthorized access and enhancing overall platform security.
