Quick Reference for Court & Resource Settings Configuration

INTRODUCTION

This article covers each setting under the Court & Resource Settings row in the Admin Panel. To access it, navigate to SETTINGS—it’s the second row of icons in the panel. Each icon represents a category of setup and management tools for your club’s courts, schedulers, and facility resources. The summaries below walk you through all eight options.

1. Courts

Create and manage the courts that appear on both the Member Portal and Admin Panel. Each court record can be customized to fit your club’s facilities, naming conventions, and operating hours.

Key Functions:

  • Add new courts and define display names, short names, and linked court types.

  • Control visibility on the Member Portal (show or hide specific courts).

  • Set open/close times by day and mark full-day closures when needed.

  • Link courts to form combo courts (e.g., Pickleball Courts 1 & 2 can combine as Tennis Court 1).

  • Enable or disable inclusion in the waitlist feature.

  • Sort courts to control their display order on the scheduler.

2. Custom Schedulers

Create tailored booking calendars that display only specific courts, types, or schedules. Custom schedulers provide flexibility for clubs with varied facilities, membership levels, or seasonal operations.

Key Functions:

  • Build custom calendar views for selected courts or activities.

  • Set unique booking rules, intervals, and operating hours.

  • Limit visibility by membership type, group, or system user.

  • Override general booking settings when necessary.

  • Show or hide custom schedulers in both the admin panel and member portal.

3. Resource Categories

Organize club equipment and assets by category tags to make them easier to manage and book.

Key Functions:

  • Create category tags (e.g., Ball Machines, Projectors, Speakers).

  • Link categories to specific court types or reservation types.

  • Decide whether members can book the resource independently or only with a court.

  • Restrict categories to certain reservation types or court types.

  • Configure booking rules (e.g., must be booked with a court).

4. Manage Resources

Add, edit, and organize individual items within each resource category—such as specific ball machines or rental equipment.

Key Functions:

  • Create new resources and assign them to existing resource categories.

  • Control resource visibility on the Member Portal and Admin Panel.

  • Assign resources to specific courts or allow general access.

  • Sort resource display order for schedulers.

  • Adjust pricing by membership type in Booking Settings > Costs.

5. Court Types

Define and manage the types of courts used at your facility (e.g., Pickleball, Hard, Clay, Indoor). Court types serve as the foundation for organizing your courts, filtering views, and reporting.

Key Functions:

  • Create custom court types or use default ones (e.g., Hard, Clay, Pickleball).

  • Assign courts to their corresponding types for accurate filtering and display.

  • Hide or display court type labels on the member portal scheduler.

  • Use court types to create filtered views and reports.

Visual Example:

When creating a specific court, Pickleball Court #1, it is assigned to the Court Type of Pickleball.

6. Closure Types

Create category tags for closures to organize and track maintenance, weather delays, or private events.

Key Functions:

  • Create and name closure types (e.g., Maintenance, Weather, Private Event).

  • Customize closure colors and add descriptive messages for members.

  • Edit or delete closure types as facility needs change.

  • Link closure types to specific closures for clearer communication.

7. Closures

Temporarily block courts for maintenance, events, or weather-related issues while managing affected reservations and member notifications.

Key Functions:

  • Create single or recurring closures by date and time.

  • Choose affected courts and cancellation options (e.g., cancel all, events only, or reservations only).

  • Notify members automatically of affected reservations.

  • Reschedule, cancel, or issue refunds directly from the admin panel.

  • Track current and upcoming closures from the Courts page.

8. Court Waitlisting

Keep courts filled and members engaged by allowing players to join automated waitlists when all courts are booked.

Key Functions:

  • Enable waitlists for specific courts and configure by membership type.

  • Allow members to join waitlists through the member portal or mobile app.

  • Control when waitlists open/close and how many players can join.

  • Notify waitlisted players automatically when a court becomes available.

  • View, manage, or create reservations from the waitlist directly in the admin scheduler.

Note: In older videos, the term Ball Machines is used to describe any rentable equipment. This label has since been updated to Resources throughout CourtReserve (unless a facility has chosen a custom name). The functionality remains the same—only the name has changed.
