Stop and Reinstate a Player's Membership Plan

INTRODUCTION

Feature Summary: Understand the difference between suspended and cancelled memberships.

Use Cases: System users have the ability to suspend or cancel a membership on behalf of a player. Players cannot suspend their own accounts and must request assistance from a system user to complete this action.


Suspend a Membership

There are many reasons to suspend a membership, such as player injury or long absence due to work or vacation. When a system user suspends a member, the player's account is on hold, and CourtReserve temporarily stops creating future billing cycles. Membership information stays on the platform, but the account is inactive.

To suspend a membership:

  1. Log in to the admin dashboard.

  2. Click MEMBERS > SEARCH on the side menu.

  3. Search for a player's name.

  4. Open the player profile.

On the player profile page, click the Membership tab and then click the Suspend Membership button.

In the popup window, add a reason (optional) and click the Suspend Membership button.

CourtReserve changes the player's status to Suspended.


USER PERSPECTIVE

If the player tries to book a court or lesson, the member portal blocks bookings and displays a warning.


Reactivate a Suspended Membership

To restart a suspended membership, open the player's Membership tab and click the Reactivate Membership button.

In the popup window, click the Reactivate Membership button. Depending on the billing terms, the system user might need to set the next payment date.

CourtReserve changes the player's account status to Active.


Cancel a Membership

When a system user cancels a player's membership plan, CourtReserve removes the attached membership and stops generating a billing cycle.

To cancel a membership:

  1. Log in to the admin dashboard.

  2. Click MEMBERS > SEARCH on the side menu.

  3. Search for a player's name.

  4. Open the player profile.

On the player profile page, click the Membership tab and then click the Cancel Membership button.

In the popup window, add a cancellation reason (optional), set the Cancels on date, and click the Cancel Membership button.

Important notes regarding the the Cancels on Date:

When canceling a membership, system users must set a Cancels on date. This date determines the exact day the membership formally ends in the system.

  • If the Cancels on date is set to today, the membership remains active through the end of the current day and ends at midnight.

    • Example: Cancels on Date = Today (March 10)

      • A member cancels in the morning. Their membership stays active all day on March 10. They can still book courts, attend events, or use benefits until midnight. At 12:01 a.m. on March 11, their membership is inactive.

  • To end a membership immediately (so the member has no benefits for the current day), the Cancels on date must be set to yesterday’s date.

    • Example: Cancels on Date = Yesterday (March 9)

      • A member cancels on March 10 but the system user sets the Cancels on date to March 9. This makes the cancellation immediate. The member cannot use benefits for the remainder of March 10.

  • If the Cancels on date is set to a future date, the membership remains active until the start of that day, then ends automatically.

    • Example: Cancels on Date = Future Date (March 15)

      • A member cancels on March 10 but the system user sets the Cancels on date as March 15. The member remains active through March 14 and loses access at 12:01 a.m. on March 15.

After clicking the Cancel Membership button, CourtReserve changes the player's status to Cancelled and shows billing cycle information at the bottom of the page.


Refunds

Assign a New Membership Plan

System users can assign a new membership to a player with a cancelled plan.

  1. Open the player profile page and click the Membership tab.

  2. Select a plan and click the Assign Membership button.

Fill in the payment details and click Assign Membership.


USER PERSPECTIVE

A player with a cancelled membership plan can log in to the member portal, but the calendars are blank (with no Reserve buttons), and it is not possible to make a booking or see the events. The top of the page displays a Purchase Membership button. When clicked, they will see the organization's membership options.

They will also receive notification of the cancellation.
