Introduction
Feature Summary: Convenience Fees is a feature that lets organizations charge a percentage-based fee on the total amount for specific types of transactions. Convenience fees can be applied to non-card present payments.
To ensure transparency and compliance with local and/or state/provincial government regulations, it is recommended that organizations provide their customers with a 30-day advance notice before applying convenience fees to charges. It is important to research and follow the guidelines set by local and/or state/provincial governments on how to provide this notice and how it should be posted. Important: Convenience fees are not allowed in all jurisdictions. You are responsible for ensuring compliance before using this feature.
Convenience fees do not apply to these transaction types:
Credit Card Swipe/Manual
eCheck
Pre-Authorized Debit
Cash
Manual CC
Check
Balance
To enable convenience fees, go to SETTINGS > BILLING SETTINGS > Integrated Payments. Click here to learn more.
A few notes
A convenience fee cannot exceed 4% of the transaction (less in some jurisdictions).
Convenience fees may not be applied to recurring transactions (depending on the jurisdiction and the type of card being used).
Convenience fees should only be applied when you are providing a bona fide convenience.
Convenience fees cannot be applied to in-person transactions.
Convenience Fees apply to the transaction total, including sales tax. For example, if the club charges $10.00 for a court reservation and the sales tax is 6.5%, the convenience fee is based on a total of $10.65.
Admin side
If the club uses Revenue Categories, the system user can direct convenience fees to a specific revenue category for financial tracking purposes.
Convenience fees are posted on a player’s account as its own fee line item adjacent to the transaction fee and the total payment.
Reverting a payment tied with a convenience fee voids the convenience fee. Once reverted, the convenience fee disappears from the transactions list.
Convenience fees are not refundable from the refund screen.
Member portal
