Reschedule an Event Date

Move an Event to a Different Day or Time

INTRODUCTION

Feature Summary: System users can change the date and time of an event — including individual sessions within a multi-day event.

Use Cases: Rescheduling allows club managers to handle unexpected changes or emergencies (such as weather-related court closures) without needing to cancel events or issue refunds to participants.


PREREQUISITES


SETUP REQUIREMENTS

The first step is to locate the Reschedule (calendar) icon for the event that needs to be updated. There are two ways to access it, depending on the system user’s workflow:

  • From the Admin Dashboard: Navigate to the Events page and locate the event you wish to modify.

  • From the Closures Page: Open the Edit Closure page to review and update events affected by the closure.


Reschedule and Event from the Admin Panel

  1. Go to the side menu and navigate to Events > List. A new page will appear.

  2. Find the event in the table and click its ID number to open the event details panel at the bottom of the screen.

  3. Next, locate the event date that needs to be updated.

To change the date, click the Reschedule (calendar) icon.

On the Event Date Reschedule screen, select a new date and, if desired, add a reason for the change.

To change the time, click the Edit (pencil) icon. On the Edit Event screen, adjust the Start and/or End Time, then click Save.

Note: The event instance will display a red icon indicating that the original details have been modified. Click the icon to revert to the original information.

Use the Audit Log to track when changes were made to events and by whom. To access it, open the full event details by clicking the event name from the Event List — the Audit Log button for the event is located in the upper-right corner.


Reschedule from the Closures Page

  1. Navigate to SETTINGS > COURT & RESOURCE SETTINGS > Closures

  2. Click Edit next to the relevant closure to open the Edit Closure page.

  3. Go to the Affected Reservations table and locate the event with a closure conflict.

Click the Reschedule (calendar) button to open the Event Date Reschedule page. Make the necessary date change, optionally add a reason, and click Save.

On the Edit Closure page, CourtReserve removes the conflict from the Affected Reservations table.


ADMIN PERSPECTIVE

On the Events page, CourtReserve displays the event’s new date with a red icon indicating a manual change, along with the current number of registrants. The table also lists the canceled date marked with a Canceled status and zero registrants.


USER PERSPECTIVE

CourtReserve sends each event registrant an email notification about the schedule change.

The member portal displays current event information.
