INTRODUCTION

Feature Summary: This report shows court usage rates for a given period.

Use Cases: System users can use the Court Utilization Report to:

  • Optimize Court Scheduling – Identify peak usage times to adjust court availability and reduce downtime.

  • Maximize Revenue – Track court utilization to ensure you’re maximizing court capacity and revenue potential.

  • Support Staffing Decisions – Use usage data to adjust staffing levels based on peak demand periods.

  • Evaluate Event Impact – Measure how events and special programs affect overall court availability.

  • Improve Member Experience – Ensure members have better access to courts by reducing bottlenecks during peak hours.

SETUP REQUIREMENTS

  1. Log in to the admin dashboard.

  2. Click REPORTS > COURT UTILIZATION.

Report Criteria

  1. Start Date – The beginning date for the report range.

  2. End Date – The ending date for the report range.

  3. Custom – Generate the report for custom dates.

  4. Court Types – Filter by specific court types or choose ALL for a complete view.

  5. Courts – Select specific courts to include or choose ALL for all courts.

  6. Include Reservation Types – Check this to include Reservation Types in the report.

  7. Include Event Categories – Check this to include Events Categories in the report.

  8. Reservation Types – Narrow the report to specific Reservation Types or choose ALL.

  9. Event Categories – Include specific Event Categories or choose ALL.

  10. Tag(s) – Filter by custom tags applied or choose ALL.

  11. Slot Interval – Set the time blocks used to calculate court utilization, from 15 minutes up to two hours. System users can adjust slot intervals to see utilization based on an interval that best fits the organization's reservation duration intervals (e.g. 30 minutes, 1 hour, 2 hours, etc.).

  12. Group By – Choose to group your data by Day of the Week or Date. Day of the Week gives an average per day court usage rate. The Date option shows court usage for each exact date during the selected period.

  13. Compute Court Utilization By – Choose how to calculate court utilization, either by Utilized Minutes or Utilized Number of Courts. CourtReserve recommends using Utilized Minutes for more accurate results. However, both methods can show utilization rates over 100% if overlapping or conflicting reservations are included. Example below: If Pickleball Court #1 has two overlapping reservations within the same time window (in this case, done in error), the utilization for that period will exceed 100%. ​In this example, the percent for this court during this date and time period is 200%. If you see a percent over 100%, it's good practice to determine the date and check the scheduler for what is causing this.

  14. Include Totals – Check this box to see average totals in the report. Understand how this is calculated below.


Example of how Court Utilization is calculated (using Utilized Minutes, assuming four courts)

Court utilization is calculated by dividing the total minutes a court(s) is reserved during a time slot by the total available minutes in that slot, then converting this to a percentage. The daily total is an average of these slot-level percentages.

Example:

Use the below example to understand how the utilization is calculated for a club with four courts using Utilized Minutes:

  • 6:00 PM - 7:00 PM (25%)

    • One of the four available courts was booked for the full 60-minute slot.

    • Total available minutes = 4 courts × 60 minutes = 240 minutes

    • Utilized minutes = 60 minutes (1 court fully booked)

    • Utilization = (60 / 240) × 100 = 25%

  • 7:00 PM - 8:00 PM (25%)

    • Again, only one court was booked for the full 60-minute slot. Utilization = 25%

  • 8:00 PM - 9:00 PM (12.5%)

    • One court booked for half of the 60-minute slot.

    • Total available minutes = 4 courts × 60 minutes = 240 minutes

    • Utilized minutes = 30 minutes

    • Utilization = (30 / 240) × 100 = 12.5%

Daily Total Calculation

  1. Add up the utilized minutes across all time slots.

    • 60 minutes (6:00-7:00 PM)

    • 60 minutes (7:00-8:00 PM)

    • 30 minutes (8:00-9:00 PM)

    • Total = 150 minutes

  2. Divide this by the total possible minutes for the day.

    • The courts are open from 6:00 AM to 11:00 PM (17 hours or 1020 minutes per court), this would be:

    • 4 courts × 1020 minutes = 4080 total minutes

    • 150 / 4080 = 0.0368 (3.68%)

  3. Convert to a percentage.

    • 3.68%

    • The 3.68% total utilization reflects the percentage of available court time that was reserved for the entire day.


Example of how Court Utilization is calculated (using Utilized Number of Courts, assuming four courts)

When calculating utilization by Number of Courts, the system measures how many of the available courts are in use for each time slot and converts this to a percentage.

Example:

Use the below example to understand how the utilization is calculated for a club with four courts using Utilized Number of Courts:

Each time slot is one hour, and utilization is calculated as:

  • 6:00 PM - 7:00 PM (25%)

    • 1 court booked out of 4 available courts.

    • Utilization = (1 / 4) × 100 = 25%

  • 7:00 PM - 8:00 PM (25%)

    • 1 court booked out of 4 available courts.

    • Utilization = (1 / 4) × 100 = 25%

  • 8:00 PM - 9:00 PM (25%)

    • 1 court booked out of 4 available courts.

    • Utilization = (1 / 4) × 100 = 25%

Daily Total Calculation

To calculate the overall daily utilization:

  1. Add up the total court utilization percentages:

    • 25% (6:00-7:00 PM)

    • 25% (7:00-8:00 PM)

    • 25% (8:00-9:00 PM)

    • Total = 75%

  2. Divide by the number of possible time slots for the day (assuming 17 hours of court availability from 6:00 AM to 11:00 PM):

    • 75% / 17 slots = 4.41%

    • This approach captures the percentage of available courts used throughout the day, resulting in a daily total utilization of 4.41%.
