Create Custom Event Lists with a Unique URL

INTRODUCTION

Feature Summary: Event Filters let you create customized event lists that can be shared both inside and outside your organization. Each saved filter generates a unique public URL, allowing anyone to view the list—no login required.

This makes event filters ideal for marketing and promotion, such as sharing upcoming events on your website, in emails, or on social media. They’re also recommended for creating event list links within the member portal and mobile app, offering a cleaner and more flexible alternative to widgets.

Use Cases: Event filters make it easy to curate and share targeted event lists. System users can quickly generate lists that display only the events they want members to see—without manually sorting or editing.

Use Case Examples:

  • Create an event list filtered by “Summer Session” and “Junior Program” events, then share the unique URL on your member portal for quick access to summer camp registration.

  • Highlight all Adult Clinics scheduled for the upcoming month and include the event list link in your club’s newsletter.

  • Filter by Tournaments or Social Events and post the unique URL on your website or social media to promote upcoming activities.

  • Build a filtered list for Beginner Lessons and share it in marketing campaigns targeting new players.

These customized URLs save time, help members find relevant activities faster, and allow clubs to promote specific programs across multiple channels.


Visual Example:

When a member selects Pickleball Social Events under the Summer Fun menu, they’ll see a custom event list filtered to display pickleball social events for the summer months.


SETUP REQUIREMENTS

  1. Go to Settings on the sidebar.

  2. Go to Portal Settings > Website.

  3. Click the Event Filters tab.

  4. Click Create Event Filter.


Create Event Filter

Use the Create Event Filter form to build customized event lists that display only the activities you want members to see. Once saved, each event filter generates a unique URL that can be shared on your member portal, emails, social media, or marketing materials—making it easy to highlight specific programs, sessions, or promotions.


Event Filter Options

  • Name: The internal name for your event filter (visible to system users).

  • Navigation Name: The name displayed on your member portal when this event list is shown.

  • Sessions: Choose which Event Session(s) to include, such as “Summer 2025” or “Fall Clinics.” Set to All to include every session.

  • Categories: Filter by Event Category (e.g., Clinics, Leagues, Tournaments).

  • Tags: Include only events with specific Event Tags for finer filtering, such as “Beginner” or “Adult.”

  • Instructors: Select one or more instructors if you want to display only events they are leading.

  • Day of Week: Show events happening on selected days (e.g., Mondays, weekends).

  • Dates: Specify a date range to display only events within that period. Choose Custom to select a custom date range.

  • Time of Day: Filter by start time (e.g., morning, afternoon, evening events). Choose Custom to select a custom time range.

  • Event Type: Select Drop-In or Full events or leave blank for All.

  • Min/Max Price: Narrow your list to events within a specific price range.

  • Prefilled Search Option: Allows system admins to automatically apply a keyword search when the event filter’s URL is opened.

    • For example, if your organization hosts a series of Summer Clinics but doesn’t want to create a separate Event Category, you can include “Summer Clinic” in each event’s name and set the Pre-filled Search Option to Summer Clinic. When members open the event filter’s URL, the list will automatically display only events containing "Summer Clinic" in their titles.

  • Default Sort Order: Choose how events are displayed (e.g., Newest to Oldest or Oldest to Newest).


Display Options

  • Is Active?: Enable or disable the event filter in your CourtReserve system.

  • Show Filter in Events Tab on the Member Portal?: Displays this event filter as a clickable link on the member portal under the Events heading. Example shown here:

  • Show Filter to Following Membership(s): Limit visibility of the event filter to specific membership types.

  • Allow Filtering on Display: Lets members apply additional filters within the displayed list. Example shown here:

  • Hide Ineligible and/or Events with No Remaining Spots: Excludes events that are full or unavailable for registration.


After Saving Your Event Filter

Once your event filter is saved, you’ll have several management options:

  • Copy URL: Click to copy the unique event filter URL to your clipboard. You can paste and/or share this link on your member portal, in emails, or through marketing materials.

  • Edit: Make changes to the existing event filter.

  • Copy Filter: From the edit screen, duplicate an existing event filter to use as a template. This is useful if you want to create similar filters (for example, Spring Camps and Summer Camps) with only minor adjustments.

  • Delete: Remove the event filter if it’s no longer needed.


Example: Linking an Event Filter from the Member Portal

In the example below, an event filter has been created for Summer 2026 Pickleball Social Events.

Next, we’ll create a link from the Member Portal called Summer Fun, where Pickleball Social Events will appear as a sub-link.

Step 1: Create the Header Link

  1. Navigate to Settings > Portal Settings > Website > Menu.

  2. Click Create Header Link.

  3. In the new header link setup window:

    • Enter Summer Fun as the Link Name.

    • Leave the Link URL field blank (you’ll add sub-links under it instead).

Step 2: Copy the Event Filter URL

  1. Go to the Event Filters tab.

  2. Click Copy URL next to the relevant event filter (in this case, Summer 2026 Pickleball Social Events).

Step 3: Create the Sub-Link

  1. Return to the Menu tab.

  2. Under the Summer Fun header link, click Create Sub-Link.

  3. On the Create Sub-Link page:

    • Enter Pickleball Social Events as the display name.

    • Paste the copied event filter URL into the Link URL field.

  4. Save your changes.

Step 4: View on the Member Portal

On your Member Portal, you’ll now see a header link titled Summer Fun with a sub-link named Pickleball Social Events.

When members click Pickleball Social Events, they’ll be taken to the event filter results—showing all summer pickleball social events from the custom filter you created.

Tip: You can create additional sub-links under Summer Fun—such as Junior Camps or Summer Clinics—by repeating these steps with other event filters you create. This is a great way to organize all your seasonal programs in one easy-to-navigate menu.


Example: Linking an Event Filter from an Email

In this example, we used Members > Bulk Email to send a Summer Newsletter to our members. While designing the email, we included a link to our Event Filter showcasing summer events. To do this, we clicked the Insert Link icon and pasted in the Event List URL.

When members click the link, they’re taken directly to the customized event list with all upcoming summer activities.
