INTRODUCTION
Feature Summary: The Guest Waiver Kiosk allows organizations to collect signed waivers from guests using a dedicated, configurable kiosk experience. System users can create a kiosk for in-club use at a front desk or check-in station, and/or enable a public signing option that allows guests to complete waivers from their own device before arrival or on-site.

Collect guest waivers at the front desk using an iPad, tablet, or desktop computer
Provide a controlled kiosk experience for in-club signing
Allow guests to sign waivers remotely using a public URL
Share waiver access via email, website links, or QR codes
Reduce check-in time by enabling self-service waiver completion

SETUP REQUIREMENTS
Creating a Guest Waiver Kiosk
Log in to the admin dashboard.
Click SETTINGS on the side menu.
Scroll down to the ORGANIZATION SETTINGS heading.
Click the Kiosks icon. A new page displays.
Click the Create Kiosk button.
Kiosk URL (displays after the kiosk is saved): Launches the kiosk in a browser for in-club use.
Name: Label for the kiosk. Example shown here:
Description: Optional internal notes about the kiosk’s purpose or location.
PIN Code: Required to unlock the kiosk by admins; only admins should have access to this code.
Is Active: Enables or disables access to the kiosk via the Kiosk URL provided.
Next Steps: Enable the Guest Waiver(s) option under Kiosk Features, then click the Guest Waiver(s) tab.
Under Apply Applicable Waivers, select the waivers you want to display and configure the fields that should appear on the Guest Form. If you need to create or edit the waivers set up in the system, navigate to Settings > Reservations Settings > Waivers & Agreements.
Guest Form
The Guest Waiver Kiosk allows system users to control which information is collected from guests and whether specific fields are required before the waiver can be submitted. For each field, admins can choose to include it on the waiver form and, if included, optionally mark it as required.
Available fields include:
First Name
Last Name
Email
Address
Phone Number
Date of Birth
Gender
Requiring certain fields ensures that essential guest information—such as contact details—is collected consistently, while optional fields can be included or excluded based on your organization’s needs.
Allow Public Signing
When Allow Public Signing is enabled and changes are saved, CourtReserve generates a Public Signing Link. This link can be shared directly with guests or used to create a QR code for easy signing access.
Common use cases include:
Sending the waiver link to guests ahead of time so they can sign before arriving
Displaying a QR code at the front desk that guests can scan with their phone
Allowing guests to complete waivers from any location, not just on an in-club kiosk
Enabling Public Signing
Check the Allow Public Signing checkbox.
Click Save Changes.
Important: The Public Signing Link will not appear until the kiosk is saved. Once saved, the link will display on the create or edit kiosk page.
Click Copy URL to copy the link to your clipboard and use it anywhere you’d like—such as in an email, on your website, or to create a QR code.
What Guests See
When a guest opens the public URL, they are taken to the waiver signing page where they can complete and submit the waiver directly from their device.

Disabling Public Signing
If Allow Public Signing is unchecked and the kiosk is saved:
The public signing link is immediately disabled
The kiosk returns to admin-controlled, PIN-code–only access
If public signing is later re-enabled, a new public URL is generated. Note: If the link was previously shared (for example, on a website or printed QR code), it must be updated with the newly generated URL.
Important: Kiosk URL vs. Guest Waiver Public URL
The Kiosk URL shown at the top of the Create or Edit Kiosk screen is intended for in-club use, such as front desk terminals or dedicated kiosk devices. This URL always requires an admin to input a PIN code to access the kiosk.
The Guest Waiver Public Signing URL, available when Allow Public Signing is enabled and saved, is designed for external sharing. This link allows guests to sign waivers directly from their own device.
Use the Kiosk URL for controlled, on-site access and the Public URL for remote or self-service guest waiver signing.
Message to Show When Waiver Is Completed
This message is displayed to guests after they successfully submit the waiver. Use it to confirm completion or provide next steps, such as check-in instructions or where to go next.

Custom Fields
If your facility requires more information, add Member Custom Fields to the Guest Form. The Form Custom Fields table lists custom fields included on the Guest Form. Under All Custom Fields, click Add To Form to add a custom field or click Add New Custom Field to create a new one. Then click Save Changes.

Kiosk Display Example
After the Guest Waiver feature has been added to the dedicated kiosk, a new Guest Waiver icon displays. Once clicked, a Guest Form and all its waivers appear for guests to fill out.
Guest Waiver Signing from the Front Desk
If an organization would prefer to have Guest Waivers signed at the Front Desk and not via a kiosk, use the Front Desk Waiver URL. Follow these steps to find the URL:
Go to Settings > Reservation Settings.
Go to Waivers & Agreements > Additional Settings tab.
Enable Allow Guest Waiver Signing at Front Desk.
Copy or select the URL under Use this URL to Start Your Front Desk Waiver(s) / Agreement(s) Signing.
Important to note: For organizations utilizing Guest Waivers exclusively at the Front Desk, it is still necessary to create a Guest Waiver kiosk. This kiosk is where system users configure the included and required fields on the guest form.
From the Front Desk Waiver URL, system users can click a Guest Waiver(s) button to open the Guest Form. Once the guest has filled out the form, the Home Page of the Front Desk Waiver URL displays.
Guest Waiver Reporting
To track Guest Waiver reporting, system users can use the Waiver(s) Report or the Waivers & Agreements tab under Reservations Settings > Waivers & Agreements.
Waiver(s) Report
Under Reports > Waiver(s) on the sidebar, system users can run this report using two filters: Include Guest Waiver(s) and Only Guest Waiver(s).
If Include Guest Waiver(s) is selected, Guest Waivers and member waivers are included in the report.
If Only Guest Waiver(s) is selected, the report only displays guest waivers.
Waivers & Agreements Tab
Go to Settings > Reservation Settings.
Go to Waivers & Agreements > Waivers & Agreements tab.
Click the plus (+) icon to view each version of the relevant waiver. Click the View button to see each signed waiver collected by the organization.
