Using the GoTab Integration

Once you are ready to use GoTab understand how to process these transactions in CourtReserve.

Introduction

After configuring your GoTab settings in CourtReserve and fully setting up your GoTab account and menus, you can process member tabs (from GoTab) directly to their CourtReserve accounts, streamlining food and beverage purchases.

Prerequisites

Before processing member tabs, ensure that:

  • Your organization’s GoTab account is live and ready to accept orders.

  • Your GoTab Account Manager has successfully set up your CourtReserve Processor in the GoTab Processor settings.


Processing Charges from GoTab to CourtReserve

  1. Open the Tab's Pay Window: When a member is ready to pay, access the tab's payment options through the Pay button or the Save & Pay button.

  2. Open the GoTab Pay Window: In the Pay Tab window, click on Manual Entry.

  3. Select CourtReserve Processor: Choose the CourtReserve processor, located to the right of the Credit/Debit option.

  4. Activate the Search Function: Click the search icon to begin the member lookup.

  5. Search by Member Name and Number:

    • Enter the member's Last Name as it appears in their CourtReserve account.

    • Enter the member's CourtReserve Member Number in the "Member #" field and click Search.
      Note: Only the Search button will initiate the member lookup, not the hourglass icon.

  6. Confirm the Member: If the member's last name and member number match their CourtReserve account, the member will appear in the GoTab window.

  7. Complete the Transaction: Once the member’s name is displayed, click Pay to process the transaction to the member’s CourtReserve account and close the tab.

Locating a Member #

A member’s number can be found in either the player’s mobile app or on the admin side of the platform.

Mobile App

  • Check-In Kiosk: If the organization uses a Check-In Kiosk, the Member Number is visible on the Barcode/QR Code Scan page of the mobile app.

  • Personal Information: If the organization does not use a Check-In Kiosk, the Member Number can be found on the Personal Information page of the mobile app or when accessing the platform via a mobile browser.

Admin Side

  • Player Profile: The Member Number is located at the top of the player’s profile, visible in the heading section.

  • Members Report: Member Numbers can also be accessed by navigating to Reports > Members and selecting the Member # output.

Receipts

GoTab offers multiple options for providing receipts, and a CourtReserve receipt can also be generated to track payment details.

GoTab Receipts: Itemized

  • GoTab allows you to print, email, or text itemized receipts directly to the customer.

To print a receipt:

  • Click the print icon at your station (a connected and configured receipt printer is required).

To send a digital receipt:

  • In the top right corner of the Tab window, click the arrow icon and select Text or Email.

  • Input the member’s contact information, and GoTab will send the itemized receipt.

Note: GoTab receipts will only indicate the payment was processed through CourtReserve but will not provide details on the payment method (e.g., credit card, Account Credit).

CourtReserve Receipts: Payment Details

To provide a receipt with detailed payment information (e.g., method used, date, and time):

  • Navigate to the member's payment in CourtReserve.

  • Generate and provide the payment receipt directly from CourtReserve.

Error Messages

Error: "Customer with such PIN not found"
Reason: The PIN (Member Number) provided does not match a member's name in your system. The member number either is incorrect or the member does not exist in your organization's CourtReserve database.


Error: "The customer with this PIN exists but does not have a payment profile"
Reason: The member was found in your organization but they do not have a Payment Profile

Error: Unable to process payment, please try again or see a staff member for assistance.
Reason: Something about the payment in CourtReserve failed

Error: Member not eligible to purchase on GoTab
Reason: In the Member's Details tab the setting to "Prevent Member from Charging to Account in GoTab" is CHECKED.
