How to configure onboarding

Use the onboarding tutorial on Credentially for useful tips

You can configure a bespoke onboarding process from new or re configure an existing set up, providing a tailored and efficent candidate onboarding experience.

Default administrators can click 'Organisation settings' tab, choose the 'Onboarding' subtab and then click 'Edit'.

Bespoke configuration for your onboarding process

You have the flexibility to select from a number of onboarding steps which you can purpose and re order dependent on your organsational process and the roles you are onboarding.
Press '+ Add new step' to add any steps you want in your organisation's onboarding.

Let's start creating onboarding!

Welcome step

The first Welcome step is a default step and will be the first page your candidates will see. We recommend you welcome them to your organisation and give them an expectation about what documents they may need during the process, how long it may take them, who to contact in case they need support and a map giving directions to your office.

Credentially tip: You can chose font size, add a handy link or bullet points from the icons in the text box.

Profile Information
Administrators can select specific profile sections a candidate will be able to complete in the onboarding. The data added on onboarding will be synced with Staff Member profile.

Professional registration

A candidate can add details of the body they are registered to here. We check the GMC database everyday and the NMC, and HCPC databases weekly. We will start the check automatically once a user has entered their valid PIN.

If a user has any other professional registration number (such as GDC, GOC, etc.), candidates still can record their PIN; you will need to manually run these checks directly but you can still upload results in the platform.

Right To Work (RTW)

When you add the RTW step, your candidate will be guided (according to the latest Home Office guidance) to upload their RTW documents as evidence. To read more about this step click here.

Questionnaires

You may also add questionnaires created earlier to get some information about applicants. For example:

Launch webpage

You may also want to use the 'Launch webpage' step, where you can insert an external link. For example, a candidate can book an interview directly with your calendar or conduct a digital ID check.

Staff Member's approval

This step is essential to approve your candidates at a particular onboarding stage (after shortlisting, having an interview or some training, etc). Candidates will not be able to proceed with the onboarding until you approve/decline their application.


Document upload

There are a couple options available to support candidates providing the documents you need to review for their compliance requirements. If you add the 'Document Upload' step, you will be able to set up which documents Credentially will ask candidates to upload at that specific step or 'Mandatory Document upload' if asking the candidate to upload all the mandatory documents required.

DBS Check

A candidate can choose between providing their DBS certificate number registered on the update service, we are integrated with the register and check weekly.

Reference check

This is an auotmated feature, you have the flexibilty to configure business rules specifying what references are accepted by your organisaation and a template for referees to complete. As soon as a candidate has submitted a reference request the system gets started. Please read the detailed article here.


Read and Download Organisation’s Documents

If you need your candidate to read and/or download a policy or information guide without a signature.


Electronic Sign Documents

If you need your candidates to sign elctronically some Organisation's Documents for example, an employment handbook or terms and conditions.

Credentially tip: To set up the read and download and sign organisation document steps you need to configure the role in organsation document sub menu, go to 'Organisation Settings' /'Organisation's Documents', click 'Add Document', and configure it for roles.


Additonal information
At any point in the candidate onboarding journey you can add an Additional information step, simple easy messaging to a candidate to ensure clarity of instruction.

Video Training

If you have a welcome video or some trainings to complete for candidates, this step will be helpful. To set up this step, you will need to insert the full YouTube link to your video.

At any moment you can add new sections, just click '+ Add new step' in the opened onboarding. You are free to rename sections as you like and change the sections' order by a simple drag and drop. Whatever change you make, be sure to click on 'Save draft' and then 'Publish' to implement the change entirely and make it visible for all your future candidates.
