Understanding and managing instances

Category: Getting Started

User Level: Beginner

Summary: What instances are, how to create and name them, when to use multiple instances, and how to safely delete one.

What is an instance?

  • An instance is a complete, self-contained activation setup within Trivia Mania

  • It holds your design settings, control settings (rounds, questions, timers), and prizing configuration

  • Every account starts with a Default instance — it is always present

  • Create additional instances for different events, venues, or visual themes

Creating a new instance

  • In the Instances column on the left, click the + button

  • Enter a name and confirm — the new instance appears below Default in the list

What you can do from the instance row

  • Start button — launches the trivia game

  • QR code icon — access the fan-facing link and QR code

  • Mainboard Output icon — open the video board output URL

  • Three-dot menu — access instance settings or delete the instance

When to use multiple instances

  • Use separate instances when you need different visual designs for different events

  • Use a single instance with multiple rounds when you want different question sets but a shared design

Important: Deleting an instance is permanent. It cannot be recovered. The platform will ask you to confirm before deleting.

Summary: How to find, save, and share the participant QR code, the fan-facing URL, and the video board output link.

The participant link (QR code and URL)

  • Click the QR code icon in the instance row

  • Save QR Code — downloads a high-resolution PNG to your device, suitable for print

  • Copy QR Code — copies the image to your clipboard for use in graphics

  • Copy URL — copies the direct link; share on social media, email, or your event app

  • Chain-link icon — opens the participant view in a new tab so you can test it

The mainboard link (video board output)

  • Click the mainboard icon in the instance row

  • Copy the URL and open it in a browser on your display screen, then go fullscreen

  • Or click the chain-link icon to open it directly in a new tab

  • The display updates in real time — no refreshing needed during the game

Testing before your event

  • Open the participant link on your phone or a browser tab to preview what guests will see

  • Open the mainboard link in a separate window to verify the video board output simultaneously

Tip: Run a short test game in Manual mode before your event to confirm everything looks correct on both screens.

Building Your Game

Creating rounds and adding questions

Category: Control

User Level: Beginner

Summary: How to create a trivia round, add multiple choice and free response questions, upload media, and organize your question set.

Adding your first round

  • Go to Control in the instance navigation

  • Click Add Round, enter a name, and click Add

  • You can add multiple rounds to one instance — only one can run at a time

  • To rename or delete a round you can hover to the right of the round name and a three-dot menu will appear, click here to get to 'edit' and 'delete'

Adding a question

  • In the Questions section of your round, click Add Question

  • Type or paste your question — 120 character maximum

  • Select Multiple Choice or Free Response

Multiple choice questions

  • Enter each answer option and mark the correct one

  • Optionally add an image to each answer choice using the upload icon

  • Use Auto, Grid, or List display mode to control how answers are laid out on screen

Free response questions

  • Enter the primary correct answer

  • Add additional acceptable answers for abbreviations, alternate spellings, or date formats

Adding media to questions

  • Each question has separate media fields for the video board and participant devices — they can be different files

  • Supported: JPEG, PNG, SVG (max 2 MB) and video (max 15 MB)

  • Toggle Disable Media Frame to remove the decorative border and let media sit directly on your background

Inserting a media slide between questions

  • Click Add Media in the Questions section to insert a full-screen image or video slide with no question text

  • Useful for sponsor messages or video segments between questions

Reordering questions

  • Use the six-dot drag handle on the left of each question to move it to a new position

Game modes: manual, automatic, and on-demand

Category: Control

User Level: Beginner

Summary: A comparison of the three game modes — when to use each and how stage progression works in each.

Manual mode

  • A staff member or host clicks Move to Next Stage to advance the game at every step

  • Timers run down but the game waits at zero until the operator acts — no automatic advancement

  • Best for live-hosted events where someone is controlling the pace

Automatic mode

  • The game advances through all stages automatically based on your timer settings

  • No operator input needed after clicking Start

On-Demand mode

  • Each guest sees a Start button on their device and begins the game when they choose

  • The operator clicks Start once — guests can join anytime during the activation window

  • The video board displays a live leaderboard as guests complete the game — not the questions themselves

  • Best for lobby experiences, social campaigns, or multi-day activations

Important: In Manual and Automatic modes, always use Sequence question order — not Random. Using Random can cause the video board and participant devices to show different questions at the same time.

Configuring timers and question variables

Category: Control

User Level: Beginner

Summary: All timer and scoring settings — countdown stage, question duration, question reveal, point values, and deduction rate.

Countdown stage timer

  • The first thing guests see after Start is clicked

  • Default: 60 seconds — shorten to 10–15 seconds for most live events – should not be less than 3 seconds

Question timer

  • How long guests have to answer each question — default 60 seconds

  • 10-15 seconds is recommended for live events to increase engagement and reduce ties

  • Choose a linear bar or circular ring display for the timer in the round settings

Points and deduction rate

  • Default: 500 points per question

  • 1,000-2,000 is recommended if high-value prizes are available, to avoid a chance of ties

  • Points decrease each second — a higher deduction rate rewards faster answers and reduces ties

Question reveal timer

  • How long the correct answer is shown after each question closes — default 3 seconds – should not be less than 2 seconds

Question number stage

  • An optional brief screen showing the next question number between rounds — off by default

  • Duration: 3 seconds; toggle on in your round settings

Round chaining: running multiple games in sequence

Category: Control

User Level: Advanced

Summary: How to link multiple rounds so they play back-to-back automatically, with options for flow control and round order.

What is round chaining?

  • Round chaining connects multiple rounds within one instance so they transition automatically — no stopping and restarting between games

  • Toggle Round Chaining on at the top of the Control panel

  • Additional options appear: Round Order, Flow Mode, and Leaderboard Duration

Round order

  • Sequential: rounds play in the order listed

  • Random: the next round is selected randomly

Flow mode between rounds

  • Manual: the operator clicks to advance from one round to the next

  • Automatic: the game advances after the leaderboard duration expires

  • On-Demand: each guest transitions asynchronously based on user stand and then on timers

Leaderboard duration

  • How long the leaderboard displays between rounds before the next begins — default 10 seconds

  • Only available when Round Chaining is enabled

Design & Customization

Customizing colors and fonts

Category: Design

User Level: Beginner

Summary: How to adjust every color element in your activation and upload a custom font to match your brand.

Opening the Color drawer

  • In your instance, click Design, then click Color

  • Each game element has its own color field: background, question text, question frame, answer tiles, timer, buttons, and more

Using the color picker

  • Click the paint bucket icon next to any element to open the picker

  • Enter a six-digit hex code to match your exact brand color — full opacity is applied automatically

  • Use the opacity slider to make any element partially or fully transparent

  • Click Add Swatch to save a color for quick reuse across the activation

Using gradients

  • Select Horizontal, Vertical, Diagonal, or Radial to apply a gradient to any color field

Color contrast — the most important rule

  • Your question text and background must always contrast clearly

  • Test your color choices using the participant link preview before going live

Tip: To make questions appear directly on your background image with no box around them, set both Question Background and Question Frame to 0% opacity.

Uploading a custom font

  • In Design, open the Fonts drawer and upload your OTF or TTF font file

  • Multiple fonts can be uploaded but only one is active at a time

  • The active font applies to all text in the activation

Important: Test your font at both heading size and answer tile size before your event — some display fonts are hard to read at smaller sizes.
