Ensuring high-quality data starts with detecting errors early, ideally, the moment data is entered. That’s why Datacapt makes it simple to define data validation rules and display real-time queries to guide users as they fill out the eCRF.

In this article, you’ll learn how to work with queries in Datacapt. We’ll cover:

  • How to create manual queries when reviewing submitted data

  • How to configure automated queries based on validation rules

  • How to test automated queries before your study goes live

Whether you're a data manager, monitor, or study builder, this guide will help you build cleaner, more reliable datasets, faster.

Pre Requisite : A user with the eCRF Builder permission must have access to a study eCRF with questions already created.

Create Automated Queries

🛠️ Step-by-step guide:

How to create an automated query

  1. Navigate to your EDC clinical study

  2. Go to "eCRF Builder"

  3. Access the question you want to control

  4. Open the question using "Edit"

  5. Navigate to the tab "Data validation"

  6. Select "+Add new validation"

  7. Configure the check to be performed attached to this data point,

  8. If applicable, add another condition using

    1. "Add new condition"

    2. Select another eCRF question to connect

    3. Configure the check to be performed for this additional data point,

    4. Repeat to connect as many questions as necessary to the condition

  9. Select a message intensity to display (Information, Warning, Exclusion)

  10. Enter a Message to display

  11. Save

💡Tips:

  • To configure additional rules, use the option "Add a New Validation". Each rule will remain independent of the original validation rule.

  • Message intensity definitions:

    • Information: Displays a blue message.

    • Warning: Displays an orange message.

    • Exclusion: Displays a red message. (Note: The subject is not automatically excluded.)


Test Automated Queries

How to test your automated queries:

  1. Open another internet browser tab

  2. Navigate to eCRF "inclusion list"

  3. Create or Open a test eCRF

  4. Navigate to the eCRF form containing the questions connected to your validation rule

  5. Enter data to test the rule

  6. Observe the Automatic query generated

  7. Correct the data entry

  8. Observe the automated query resolution

💡 Tips:

  • Keep two tabs open: one for the eCRF Builder and one for testing. Perform modifications under the eCRF Builder, then reload the test eCRF page to see results live.

  • To test a data validation, re-trigger or re-select at least one data point included in the validation design to activate the control
