Waiting List

This article explains how to set up, manage, and use the Waiting List feature in your account to organize Customer requests, schedule openings, and streamline booking management.

πŸ“ Overview

The Waiting List feature allows Staff Members to manage Customers who don’t have a scheduled appointment but are waiting for the next available time that fits their needs. Customers can add themselves to the Waiting List, and when a time slot opens, Staff Members can move them directly into that available time slot. Entries can be edited, deleted, or sorted by priority, date/time added, customer name, service, or staff member.

The Waiting List is automatically available within your Site Administration.
You may access it two ways from your Appointments Tab.

Waiting List Shortcut

  1. Click on Appointments tab.

  2. Click the Waiting List short cut on the right that shows how many entries are on the Waiting List currently.

View Full Waiting List

  1. Click on Appointments tab.

  2. Click the little three tier button on the left side of your Appointment Grid.

  3. Click View Waiting List.


🧭 Managing the Waiting List

βž• Creating Waiting List Entries

Here you will be able to create your own Waiting List entry in order to keep track of Customers who request upcoming appointments.

  1. Click Waiting List, then Add to Waiting List.

  2. Select an existing customer profile.

  3. Depending on your account settings, specify:

    • Staff Member

    • Service or Add-On Service

    • Room, Child/Pet, or Group size

  4. Select a Priority Flag - Low, Medium, or High. This helps staff quickly identify which Customers need appointments scheduled first.

  5. Click Add to Waiting List button.

πŸ“… Booking an appointment from the Waiting List

Here you will be able to book an appointment for your Customer within the Waiting List itself.

  1. Click into the Waiting List from Site Administration.

  2. Select an entry and click the Book button.

  3. You will be redirected the appointment grid to book the appointment.

  4. Click on an open time slot to proceed with booking the appointment.

  5. Click Save.

πŸ’‘ To have the system automatically remove entries once scheduled:
​1. Click on the Settings tab.

2. Click on Waiting List tab on the left.

3. Click Yes on Preference #3.

4. Click Update.
(If disabled, entries must be deleted manually.)

✏️ Editing a Waiting List Entry

Here you can edit a Waiting List entries appointment details.

  1. Click into the Waiting List from Site Administration.

  2. Click the little pencil icon to edit the entry.

  3. Click Update Waiting List when edits are complete.

πŸ—‘οΈ Deleting a Waiting List Entry

Here you can remove a Waiting List entry from the Waiting List completely without booking an appointment.

  1. Click into the Waiting List from Site Administration.

  2. Click the little trash can icon to the right of the entry.

  3. A pop-up to confirm this action will appear - to proceed, click the red "Yes, remove customer button".


πŸ‘¨β€πŸ’» Waiting List on Customer View

This feature is also offered within the Customer View upon enabling, allowing Customers to place themselves on the Waiting List. Customers will interact with the Waiting List similarly to scheduling a regular appointment.

1. Click on the Settings tab.
2. Click on Waiting List on the menu to the left.
3. Click Yes on Preference #1.

4. Click Update.

  1. Log in or click Book Appointment via the Customer View.

  2. Select required options for their appointment. (Staff Member, Service, etc.)

  3. Upon Date and Time selection, they must click the Join Wait List button.
