How to handle client data removal requests while preserving reporting.

📝 Overview

Use this guide to safely remove client information from your account. You’ll learn when a profile can be fully deleted, when it’s better to anonymize, and how each option affects existing appointments and tickets.

⚠️ Please Note:

Deleting a client with no linked appointments permanently removes the profile. If the client is linked to past or future appointments (or tickets), deleting will only inactivate the profile and can affect history. If you must keep history for reporting, do not delete; use the anonymize steps instead.

🔑 Authorizations

Only team members with the correct access level should remove or anonymize client data. This protects reporting integrity and helps you meet compliance requirements.

  • Requires an employee role with permission to view and edit Clients.

  • Deletion rights should be limited to admins or designated data stewards.

  • Follow your internal data retention policy before removing any record.


🗑️ Delete a Client With No Linked Appointments

Remove a client profile that is not tied to any appointments or tickets. This fully deletes the record.

Disclaimer: Deletion is permanent and cannot be undone.

  1. Open Clients and search for the profile.

  2. Under the Overview tab, confirm the client has no past or future appointments and no tickets.

  3. Under the Personal Info tab, click Delete on the client profile.

  4. Confirm to permanently remove the profile.

  1. Open the DaySmart app, tap Clients and search for the profile.

  2. Open the client card and confirm there are no appointments, then Tap Edit.

  3. Tap Delete Client and confirm.


🧹 Delete a Client With Linked Appointments

If a client has linked appointments or tickets, delete those first (or anonymize instead).

⚠️ Please Note: If you must retain ticket history, use Anonymize instead of deleting.

  1. Open the client profile and review History for upcoming and past appointments.

  2. Delete any appointments and tickets that should not be retained.

  3. Return to the client profile and click Delete.

  4. Confirm to remove the client.

  1. Tap Clients, then open the client profile.

  2. Under Next Appointment, note any upcoming appointments you plan to remove.

    • Open each appointment and tap Cancel

  3. Return to the client profile, tap Edit

  4. Tap Delete Client and confirm.


🕵️ Anonymize a Client While Keeping History

Remove personally identifiable information and keep past appointments and tickets for reporting.

💡 Pro Tip: Anonymizing keeps your historical reporting accurate while protecting the client’s identity.

  1. Open the client profile and click Edit.

  2. Replace Name with a neutral label, for example: “Delete request – YYYY-MM-DD”.

  3. Clear Email and Phone, and remove Address and any other identifiers.

  4. Click Save.

  1. Tap Clients, then select the client profile.

  2. Tap Edit.

  3. In Name, replace with a neutral label such as “Delete request – YYYY-MM-DD”.

  4. Clear Email, Mobile Phone, Address and any other identifying fields.

  5. Tap Save.

    • Tickets and appointments remain for reporting, but personal details are no longer present.

Will changing the client’s name update what I see on past appointments?

Yes. If you anonymize the profile, the new name will display everywhere that profile is referenced, including past appointments.

If I clear phone and email on the client, does that remove them from existing appointments too?

Yes. Clearing contact fields on the client record removes those values wherever that client appears.

No. Your company is the data controller. We provide the tools to delete or anonymize data, but we do not process legal requests on your behalf.
