Use this guide to safely remove client information from your account. You’ll learn when a profile can be fully deleted, when it’s better to anonymize, and how each option affects existing appointments and tickets.
⚠️ Please Note:
Deleting a client with no linked appointments permanently removes the profile. If the client is linked to past or future appointments (or tickets), deleting will only inactivate the profile and can affect history. If you must keep history for reporting, do not delete; use the anonymize steps instead.

🔑 Authorizations
Only team members with the correct access level should remove or anonymize client data. This protects reporting integrity and helps you meet compliance requirements.
Requires an employee role with permission to view and edit Clients.
Deletion rights should be limited to admins or designated data stewards.
Follow your internal data retention policy before removing any record.
🗑️ Delete a Client With No Linked Appointments
Remove a client profile that is not tied to any appointments or tickets. This fully deletes the record.

⛔ Disclaimer: Deletion is permanent and cannot be undone.
Open Clients and search for the profile.
Under the Overview tab, confirm the client has no past or future appointments and no tickets.
Under the Personal Info tab, click Delete on the client profile.
Confirm to permanently remove the profile.

💡 Pro Tip: Anonymizing keeps your historical reporting accurate while protecting the client’s identity.
Open the client profile and click Edit.
Replace Name with a neutral label, for example: “Delete request – YYYY-MM-DD”.
Clear Email and Phone, and remove Address and any other identifiers.
Click Save.

Will changing the client’s name update what I see on past appointments?

Yes. If you anonymize the profile, the new name will display everywhere that profile is referenced, including past appointments.
If I clear phone and email on the client, does that remove them from existing appointments too?
