Using the simple search bar or more advanced Patients search to find patients or groups of patients

There are a couple of ways to search for a patient or a group of patients.

Patient Search Bar

There is a search bar on the top right in between your call notifications and other notifications:

When you search a for a name in the search bar, it will only pull patients who are assigned to the location that you're searching in.

If you are searching for patients across locations, you need to either switch the office location you're in or use the Patients search (learn more further down).

When you search for a patient in the search bar and click their name, you will open their Details page:

You can navigate to Messaging from there if you'd like to send a message or view their message history.


Advanced Patient Search Tool

On the menu on the left, there's a link called Patients - this is an advanced search across all of the locations that you have access to based on your user settings:

If you want to send a New Blast to a group of patients (scroll down to Search Results), you will also have access to the same search tool in order to target the exact right group of patients!

Search Filters:

Treatment Status: Default selected is all treatment statuses, but you can narrow your search to include as many or as few as you'd like.


โ€‹Last visit date: Search for patients whose last appointment was on a certain day or between a range of dates.

Scheduled appt date: Find patients who have future scheduled appointments between

*Note: When using search filters by date, choose the start and end date you'd like results for - if you want results from 1 day only, select the same date for both:

Recall date: If you assign recall dates in your practice management system, you will be able to search for patients with this filter.

Last appt status: This is a handy way to search based on kept, missed, or other appointment statuses.

Location: All locations are automatically selected unless you change the search filter.

Responsible party: You can search for patients based on the name of their responsible party.

Search results will show a list of patients, open their details to verify their responsible party.

There are three filters to be aware of at the bottom of the list (underneath the Language filter):

Include all new leads: This will include people in your search results who have been added to my desk but who don't have a patient chart in your PMs yet.

Do not include patients already in Ava's follow up: Click to turn this filter on and exclude patients who are already in a follow up type.

Do not include patients with a scheduled appointment: This gives you the option to exclude patients who are scheduled to come in for an appointment.


Search Results

When you're satisfied with the search criteria you've selected and then do a search, you will see a list of patients who meet that criteria.

You can choose to send a New Blast using the search results:

Click the blue icon with 3 dots next to a patient's name to see your options:
