Sending direct messages and viewing patients message history

Staying on top of all the communication every day with your patients can be a lot - I'm here to make it way easier!

In fact, you could say that's kind of my thing -

I automate it with follow up, I get your message out fast with Templates and Blasts, and my notification center helps you manage replies all in one place - that's not even a complete list!

At the heart of it all is each patient's Messaging modal where you can see their follow-up and message history, send direct messages, put them in follow up, and log calls and notes!

Basically, it's where the magic happens - I mean where the magic is documented πŸ˜‰


How to Open the Messenger:

Automations page: click on any patient's name in a follow-up bucket (Team Decision or Ava's Patients) and click Messaging:

Search: find a patient, click their name (which opens their Details) and then click the Messaging button

Notification Center: when you open a patient's reply to message them back, it will open their messaging modal in the same window:

You will be able to open it by clicking Messaging or clicking the chat bubble icons, anywhere you come across it in my desk.


Patient Message History:

What information can you find here?

  • The entire communication history that your office has had with a patient

  • Virtual Consult photos (or other files a patient sends by MMS)

  • When follow up is started or stopped (in yellow)

  • The team member that sent a message (hover over the initials to the right of each message)

  • If you set a reminder for yourself, I will note it here when I send it to you


Color Codes

Every type of message color-coded so you can easily see the type of communication the patient has received!

Blue - Text messages

Green - Emails

Yellow: Notes/call logs (patient's do NOT receive these, they are for your (office's) eyes only πŸ˜‰) - I'll add notes too (ex: when follow-up starts or stops).


Send a Direct Message

Click the plus sign to the left of the patient's name to open the text editor:

Click the green icon to send an email, the blue icon to send a text message, and click the yellow button to write a note or log a call.

I automatically select the team member who is logged as the sender - click the drop-down menu to change it:

Buttons under the text box from left to right:

Templates (yellow button): save time - click to choose one of your saved messages


​Attach file (red button): I can send MMS messages, so if you need to attach a photo or file to your message, do it!


​Send: this will be greyed out until all required fields have been filled. It will say "Add" instead of "send" for notes/calls.


Future Messages:

Click the red Future button to expand and preview all future, scheduled messages:

This will show you the messaging for scheduled Follow Up messages (including Set and Remind messages and staff reminder emails), and Appointment Reminders.


Put in Follow Up:

There are times you may want to put a patient in follow up that doesn't automatically show up in a Team Decision bucket - you can still put anyone you like in it from here!

Click my avatar to the right of the patient's name to open follow up options:

You can put the patient in Auto, Set, or Remind, exactly the same way you would if they were in a Team Decision bucket!

Once you confirm them for follow up, their name will appear in the corresponding Ava's Patients bucket on your Automations page.
