How to set up an online scheduler and manage new patients that use it

It's in the name, add this online scheduler to your website - make it easy for people to schedule a new patient appointment, at any time of day!

When people start doing research for a good orthodontist, give them the ability to schedule a new patient appointment at any time of day, and without having to call.

There are a few steps to take in order to set up the scheduler and make it available to future patients.

Settings

There are 4 bits of info I'll need from you, and these are the settings we'll go over:

  • Which locations can people schedule appointments at

  • The type of appointment should be created when someone schedules

  • What your appointment statuses mean

  • Who on your team needs to know when someone schedules

Click Settings >> New Patient Scheduler:

Each of the items on that list has a box here in the Settings.

Notifications

Select every team member that needs to be alerted when someone schedules an appointment through the NPS (you can select or deselect anyone, at any point).

Appointment Type

Choose one - this will be the type of appointment that's available for people to schedule:

In your schedule, create that type of appointment on specific days and times that will be reserved every week for new patients who schedule online.

*NOTE: You can only choose one status, so if you have multiple appointment types for new patients (ex: one for adults and one for children), you may want to create a new appointment type specifically for the NPS.

Appointment Status Normalization

This is a really important step- it tells me what your appointment statuses are, so I know when an appointment is scheduled, rescheduled, kept, or missed.

For each of your appointment statuses, choose an option from the drop-down menu that best represents it - if none of them match the status, leave it blank.

Locations

Select the office locations that you'd like to offer appointments at. Patients will be able to see a map and the office locations they can choose from:

Custom URL

Once you select a location, I will generate a custom link to the scheduler that you can put on your website, use in ad campaigns, or even put on social media!

You can also create custom QR codes that send people to the scheduler if you have any printed or physical advertising.

Branding

Don't forget to upload your logo, to customize your scheduler!

When your patients click the link, it will look something like this:

Once you've set up the scheduler and patients start to schedule new patient appointments, every team member you selected to receive notifications will get them.
