How to manage leads who have scheduled through the New Patient Scheduler

Once you've set up the New Patient Scheduler and put your link out there, prospective patients are going to start scheduling appointments.

Adding Patients to Your Schedule

All of the scheduled appointments will be listed on the NPS page where you can manage and confirm them.

If you use Cloud9, appointments will be added to your schedule.

They gave me permission to write back, so appointments scheduled through the NPS will be added, and you don't have to do a thing after set up!

If you use another system it's still super easy...

I'll notify you of new appointments - all you have to do is add them ❤️

Click Automations >> New Patient Scheduler to see your list of new patients:

This is the info that is visible from this view:

Name: Patient's name

Responsible Party: Patient's responsible party (if applicable)

Communication: Click the message icon to open their messaging modal if you want to send a text or email to the patients. Click the phone icon for their phone number.

Insurrance: The patient will indicate when they schedule whether or not they have insurrance.

Hear about us? I'll ask the patient to tell you where they heard about you.

Appointment: This will show you the appointment date and time.

Booking Details: Click to view contact info, insurance, and whether or not they will have more than one child seen at the appointment:

Record: When you have added the appointment to your schedule, mark it here so you and your team members can tell who needs to be added and who hasn't been.

Click on the calendar icon that has a small checkmark - then click the checkmark to indicate that you've added the appointment to your schedule:

Lead's names will remain red until you confirm the appointment, and once you do they'll turn white.

*Note: If you use Cloud9, I automatically record the appointments so you won't need to take this step.

When they schedule, I'll use that info to create a new patient file in my desk. You will be able to find their chart in a search and view any of their info in their patient details.

Once you add it to your schedule, the next day when another chart is added (based on the info in your PMs), merge the NPS chart with the PMs chart.

That way you can keep all communication in one record, and make sure there aren't two records floating around with the same name to keep your data clean!


Reports
