Candidate Journey

Candidates must provide a full and continuous activity history for the last five years leaving no gaps of over 31 days, all activities and gaps over 31 days must be evidenced with supporting documentation outlined in the BS7858. This information is used to reduce an organisation's risk exposure, and ensure employees are capable of maintaining high standards of honesty and integrity in view of the special circumstances of the environment in which they are employed.

Candidates will be asked to add activities through the candidate portal in the ‘Activity History’ section. They will have the option to use the HMRC 5 Year PAYE History upload option to upload all UK PAYE employment automatically. All non-PAYE employment and alternative activities will need to be added manually, candidates will be required to submit organisation names, start and end dates of activities, reasons for leaving if applicable, reference information and two different documents to confirm start and end dates of each activity. Available activity options are: Employment, Self Employment, Studying, Self-Study, Job Seeking, Carer, Medical Reasons, Travelling, Volunteering, Parental Cover, and Another Reason.

The system will automatically check for any uncovered gaps over 31 days and highlight them with a red ‘gap’ icon, clearly displaying where uncovered gaps between activities are. Candidates will be able to submit their applications with gaps but these must be covered prior to clearance being issued. Should an applicant submit with gaps these will be visible to screeners also.

Screeners can create activities in an applicant’s activity history both before and after an application is submitted by selecting ‘Create Activity’ at the bottom of the activity history dropdown. Any activity added by a screener will immediately appear on the candidate’s side. However, activities created by the candidate will not be visible to screeners until the full application has been submitted. Once submitted, all activities created by both parties will be visible.

When all activities have documents attached and references added a purple ‘complete’ button will appear at the bottom of the section. If there are limited documents attached or gaps remain a candidate may be asked if they would like to continue or go back, if they continue this will complete the section, if they go back it will not. Once a candidate has submitted their application, they will no longer be able to edit it.


Screener Journey

Upon application submission all activities created by the candidate will be visible in the Deploi screening portal. Screeners are responsible for checking the 5 year history submitted and all supporting documents adhere to BS7858 standards and requesting additional supporting documentation if required.

Screeners are able to add and delete documents from activities by clicking on the relevant ‘upload file’ links or trash icons within an activity. Documents confirming start and end dates should be stored in the relevant ‘beginning of [activity], and end of [activity]’ sections, the ‘References’ section may be reserved for direct references for auditing ease.

The following is a list of the most common documents to confirm activities, other documents may be accepted if the screener believes they are reasonable evidence to confirm the activity.

  • Employment UK: HMRC PAYE 5 Year History / P45 / Payslips / Contract / Reference

  • Employment Abroad: Reference / Appointment Letter / Resignation Letter

  • Self Employment: Tax Returns / Invoices / Accountant References

  • Studying: Certificate / Transcript / Student Status Letter

  • Self Study: Certificate

  • Registered Job Seeking: Bank Statements / Universal Credit Statement / Reference

  • Unregistered Job Seeking: Email Confirmation of Job Applications

  • Volunteering: Reference

  • Carer: Reference / Bank Statements Showing Carers Benefits

  • Parental Cover: Bank Statements / Reference

  • Medical Reasons: Bank Statements Showing PIP Payments / Medical Note/Docs

  • Travelling: Flight Bookings / Passport Stamps / Accomodation Booking

  • Another Reason: Bank Statements Showing Local Transactions / Any Other Reasonable Documentation
