View, upload, download, preview, and delete documents for customers in Debtors

A guide to managing documents against customer records, covering how to upload, view, preview, download, and delete documents from the Documents tab.

Our integrated Document Viewer streamlines workflows between Dimensions Cloud and Document, providing you with a single solution from your finance system.
You can view, preview, upload, download and delete documents in Dimensions Cloud, without having to switch between multiple applications.

  • Search

  • View

  • Upload

  • Download

  • Preview

  • Delete

from the Documents tab without leaving Dimensions Cloud.

The following types of fields are supported for now and we're looking to enhance this list:

  • jpg

  • png

  • pdf

  • tiff

  • tif

  • jpeg

  • gif

  • svg

The steps below take you through the Customer Documents screen.

Upload a document for a customer

  1. Click Debtors then click Customers.

    • All customers are displayed. You can narrow down your search by using the advanced filters. You can also search on the columns directly by pointing the mouse to the name of the column and click on the 3 small horizontal lines and choose from the available filter list, then click OK.

  2. Select the checkbox next to the customer you wish to work with.

    • The Action Panel automatically opens from the right-hand side of the screen.

  3. Click the Documents tab then click Select File.

  4. Navigate on your laptop or PC to the document you wish to upload.

  5. Select the document by double clicking or drag and dropping into the designated area on your Documents tab.

Your document is now uploaded, and the Documents tab is refreshed to display the new document.

View a list of uploaded documents for a customer

  1. Click Debtors then click Customers.

    • All customers are displayed. You can narrow down your search by using the advanced filters. You can also search on the columns directly by pointing the mouse to the name of the column and click on the 3 small horizontal lines and choose from the available filter list, then click OK.

  2. Select the checkbox next to the customer you wish to work with.

    • The Action Panel automatically opens from the right-hand side of the screen.

  3. Click the Documents tab to view all uploaded documents display for the selected customer.

Preview uploaded documents for a selected customer

  1. Click Debtors then click Customers.

    • All customers are displayed. You can narrow down your search by using the advanced filters. You can also search on the columns directly by pointing the mouse to the name of the column and click on the 3 small horizontal lines and choose from the available filter list, then click OK.

  2. Select the checkbox next to the customer you wish to work with.

    • The Action Panel automatically opens from the right-hand side of the screen.

  3. Click the Documents tab.

    • All uploaded documents are displayed for the selected customer.

  4. Click on the icon next to your document to preview uploaded documents without having to download them.

Download documents for a selected customer

  1. Click Debtors then click Customers.

    • All customers are displayed. You can narrow down your search by using the advanced filters. You can also search on the columns directly by pointing the mouse to the name of the column and click on the 3 small horizontal lines and choose from the available filter list, then click OK.

  2. Select the checkbox next to the customer you wish to work with.

    • The Action Panel automatically opens from the right-hand side of the screen.

  3. Click the Documents tab.

  4. Select the checkbox in front of the documents you want to download.

  5. Click the cog icon then select Download.

The documents download, and you can open those from either the top or the bottom of the screen depending on your browser.

Delete documents for a selected customer

  1. Click Debtors then click Customers.

    • All customers are displayed. You can narrow down your search by using the advanced filters. You can also search on the columns directly by pointing the mouse to the name of the column and click on the 3 small horizontal lines and choose from the available filter list, then click OK.

  2. Select the checkbox next to the customer you wish to work with.

    • The Action Panel automatically opens from the right-hand side of the screen.

  3. Click the Documents tab.

  4. Select the checkbox in front of the documents you want to delete.

  5. Click the cog icon then select Delete.

  6. Click Yes.
