Auto Review lets Docupath approve repeat documents for you. Once you have approved a few documents from the same pair of trading parties, Docupath learns what a good document from that pair looks like and starts approving matching documents automatically. When a document looks different, it is not approved quietly - Docupath flags it and leaves it in your queue for a person to check.
The idea is simple: the documents you would have approved anyway stop needing your attention, and you only step in when Docupath spots a genuine change. Auto Review works on Invoice and Purchase Order documents.
How It Works
Building trust over the first few documents
Auto Review builds its confidence around a trading pair - the two parties named on a document, such as the supplier and the buyer. Trust builds up over the first few documents from that pair:
The first document is reviewed and approved by you as normal. Nothing looks different on screen, but in the background Docupath records the document's key details - such as VAT numbers, currency, and shipping address - as the starting point for that trading pair.
The second document from the same pair arrives with a green lightning icon in the Auto Review column. Clicking it offers to trust the pair. Once you confirm, that document is approved and the trading pair is trusted from then on.
The third document onward is approved automatically. It moves straight to the Approved tab, and the Reviewed By column shows Auto Review instead of a person's name.
The Setting Up Auto Review and Trusting a Trading Pair guides walk through this end to end.
The Auto Review column
On the Document Review page, every document row has an Auto Review column that tells you, at a glance, what Auto Review did with that document:
Icon | What it means |
Green lightning | This trading pair is ready to be trusted. Click it to turn on Auto Review for the pair. |
Red lightning | Auto Review looked at the document, noticed something different, and left it for you to review. |
No icon | Auto Review did not run on this document, usually because the trading pair is not trusted yet. |
When Auto Review flags a document
When Auto Review notices something different, it leaves the document in your Pending queue with a red lightning icon rather than approving it. Opening the document shows a Validation & Trust tab that lists the document's key fields - for example Seller VAT, Buyer VAT, Currency Code, and Shipping Address - marks each one as Verified or Unverified, and explains why the document was held back:
A key detail changed. A value such as the VAT number, currency, or shipping address does not match what Docupath learned for this trading pair.
A business check did not pass. For example, the line items do not add up to the total, the total does not match net plus tax, the document is dated in the future, or the invoice number is missing.
If you look at a flagged value and it is genuinely correct - for example a supplier that has moved address - you can add the new value so Docupath treats it as trusted from then on. The Reviewing Documents Flagged by Auto Review guide covers this.
Managing your trusted pairs
The Auto Review page in the Settings menu lists every trading pair you currently trust, along with the organization and document type each one applies to. From here you can open a pair's trust ledger (the list of values Docupath has learned), fine-tune the checks for a single pair, or stop trusting a pair. Stopping trust is safe to undo - the learned values are kept, so re-trusting a pair later takes a single click. The Managing Trusted Pairs and the Trust Ledger guide covers this page.
Where Auto Review fits in the document lifecycle
Auto Review sits at the review stage of the document lifecycle, in place of a manual approval. A document is still ingested, processed, and enriched exactly as usual; Auto Review only decides whether it can be approved automatically or should wait for a person. Documents that are not Invoices or Purchase Orders, and documents from pairs you have not trusted, continue through the normal manual review flow.
Supported Configurations and Options
Auto Review is switched on per sub-organization, and can then be fine-tuned down to a single trading pair. A more specific setting always overrides a broader one.
Level | Where you set it | What it controls |
Sub-organization | Settings > Manage Organizations > edit a sub-organization > Auto Review toggle | Turns Auto Review on for a specific sub-organization's documents. |
Trading pair | Settings > Auto Review > Override (per pair) | Fine-tunes the checks for one trading pair, on top of the defaults. |
For a single trading pair, the per-pair Override page lets you turn the whole pair on or off and switch individual checks on or off:
Check | What it looks at |
Identity Gate | Whether the document comes from a trusted trading pair |
Trust Ledger Gate | Whether the document's key values match the trusted values |
Invoice number exists | The invoice number is present |
Math root check | Net plus tax equals the total |
Line items sum | The line items add up to the subtotal |
Quantity x Unit Price | Each line's quantity times unit price is consistent |
Line items not empty | The document has at least one line item |
Document date not in future | The document is not dated in the future |
Duplicate invoice check | The invoice number has not been seen before |

Notes
Auto Review runs on Invoice and Purchase Order documents. Other document types are reviewed the normal way and simply do not show an Auto Review icon.
Only Admin and Manager roles (and Custom roles with the Auto Review module) see the Auto Review menu and can trust a pair. Reviewers and Validators can still approve documents; their approvals just do not start the trust-building process.
Your trusted pairs and their learned values are kept even while Auto Review is switched off, so turning it back on picks up exactly where you left off.
