Using an Earlier Version of a Supporting File

This guide shows how to bring back the rows of an earlier version of a supporting file, for example to undo a change. The earlier rows are saved as a new version, and nothing is deleted. It is for admins, managers and custom roles with Update access to Supporting Files, and it sits under the Supporting Files reference article.

Prerequisites

  • Update access to Supporting Files. The Admin and Manager roles have it by default

  • An earlier version with the status Processed

Steps

  1. Click the dropdown arrow (▾) next to your user avatar in the top-right corner of the screen to open the main menu.

  2. Click Supporting files.

  3. Open the ⋮ menu at the end of the file's row.

  4. Click View.

  5. Scroll down to Version history. To check a version first, click the › at the start of its row to see what it changed, or download it.

The Version history of a price list with three versions, version 3 in use, and version 2 opened to show its note and the rows it changed
  6. Click Use this version again (the curved arrow icon) on the version you want.

Note: Use this version again requires Update access to Supporting Files. Without it, the icon is not shown.

  7. Click Use version N to confirm.

The Use version 2 again? confirmation, which explains that the rows are saved as version 4 and nothing is deleted

Expected Outcome

A message confirms the change: Version N is in use again. It is saved as version M. The new version appears at the top of the Version history with the In use tag, and rules use it for documents processed from then on.

Common Issues

Issue

Cause

Resolution

A version has no Use this version again icon

It is the version in use, it did not process successfully, or a new upload is still processing

Choose a version with the status Processed, or wait for the upload to finish

The icon is grayed out

You are editing the file's rows

Save or cancel your changes first

A message says the version does not have a column that the list has now

Columns were added to the file after that version was saved

Download that version, add the missing columns, and replace the file with it

Notes

  • Documents that were already processed keep the version they were processed with until they are processed again.

  • Activity logs records every use of an earlier version.
