Using Purchase Orders (POs) in Dots

For clients with internal PO processes enabled - learn how to add a PO to your Dots orders for smoother billing and invoice tracking.

Purchase Orders (POs) are an important part of finance and procurement workflows, especially for companies that require PO information for internal tracking and invoice reconciliation. While Dots does not require a PO to place an order, clients who work with POs are encouraged to use this feature for accurate and streamlined billing.

This feature is only available for clients who manage Purchase Orders internally and have the PO functionality enabled by the Dots team. If you’re unsure whether it’s active for your account, please check with your Customer Success Manager (CSM).

Why Use Purchase Orders in Dots?

Purchase Orders (POs) are a key part of finance and procurement workflows. They help track and reconcile invoices and maintain internal control over company spending.

When you add a PO to an order in Dots, its details appear on the final invoice—ensuring your internal accounting and procurement teams can easily process payments.

When to Add a PO

You can add your PO after your quote is approved and your order status changes to “Processing.”

POs cannot be added during the initial order creation. Once the order offering is approved, it’s time to upload your PO details.

Steps:

  1. Wait until your order is in Processing status.

  2. Open the order details.

  3. Enter your PO number and, if applicable, upload the PO file.

Full PO Upload

Upload both the PO number and the PO document file.

Recommended for accurate tracking and invoice matching.

Reuse the same PO number and document across multiple orders.

Ideal for enterprise clients with recurring or ongoing orders.
