If you're transitioning from a previous CRM, you may have proposals, invoices, or jobs that were already completed (or are in progress) before you started using DripJobs. This article walks you through how to bring that historical or in-progress work into your DripJobs pipelines, so your records stay complete and accurate.
Before You Start
Make sure all of your contacts from your previous platform have been imported into DripJobs. If you haven't done this yet, see our article on importing contacts before continuing.
Tip: You don't have to import your contacts ahead of time. As shown below, you can also add a new contact manually from within the New Proposal or New Invoice screen.
See the Ilustrated Step By Step Here ➡️ Importing Contacts in DripJobs
Option 1:
See the Ilustrated Step By Step Here ➡️ Adding a Proposal
Use this option if you need to log a job that started as a proposal.
Go to the Sales Pipeline.
Click New Proposal.
In the Contact Information section, use the contact drop-down to:
Search for and select a customer you already imported into DripJobs, or
Select New Contact to manually enter that customer's details on the spot.
Important: Before clicking Start, turn on the Disable Drips toggle. This prevents DripJobs from sending any automated communications to the customer.
Click Start. This takes you to the proposal builder.
Build out the proposal. You have two options:
Full detail: Recreate the proposal exactly, including line items and areas (if Production Rights applies to your account).
Simplified (recommended): Add a single line item representing the total value of the job.
Once the proposal is ready, scroll to the bottom and click Approve Without Signature.
See the Ilustrated Step By Step Here ➡️ How to Approve a Proposal WithOut Signature?
This does not send any confirmation or notification to your customer.
It simply moves the proposal from the Sales Pipeline to the Jobs Pipeline and marks it as an accepted job.
↪️ After Approving
DripJobs will automatically generate the invoice for the job.
If you've already received payment(s) for this project:
Go to the invoice, then Payments.
Click Receive Payment.
Manually enter the payment(s) received.
Select No Receipt if you don't want the customer to be notified, or Email Receipt if you do.
Click Save.
See the Ilustrated Step By Step Here ➡️ How to Receive a Payment?
In the Jobs Pipeline, move the deal card to whichever stage reflects its real status (e.g., Project Completed if the work is already finished).
Always double-check that the Disable Drips toggle is turned on inside the deal's Command Center, so the customer doesn't receive unwanted automated messages.
Option 2:
See the Ilustrated Step By Step Here ➡️ Adding an Invoice Only
Use this option if you only need to log an invoice, without creating a full proposal/job record.
Go to Invoices.
Click New Invoice.
In the contact drop-down, either:
Select an existing customer from your contacts database, or
Manually add a new customer from the same menu.
Complete the invoice as needed.
Key Reminders
✅ Always turn on the Disable Drips toggle before starting a proposal, and confirm it stays on in the Command Center afterward.
✅ Approve Without Signature is safe to use for backfilled work — it does not notify the customer.
✅ Choose No Receipt when logging past payments if you don't want the customer notified.
✅ You can add contacts on the fly from the New Proposal or New Invoice screens — importing contacts first is optional, not required.
