How to Set up and Use the Packages Feature
With our new Packages feature, you can offer customers the flexibility to buy a package of services now and schedule their appointments later - they don't need to make the first booking right away. This is ideal for businesses offering packs of consultations, classes, or bundled service and product offerings. Here’s a step-by-step guide on how to set up Packages and assign manual bookings to packages, enabling you to sell service packs that customers can redeem at their convenience.

Background
Packages let you sell bookings today and customers would book tomorrow. The package itself is a Shopify product while the appointments booked later on are events in Easy Appointment Booking. Here's an example of a class pack for yoga bookings.
You can imagine a setup for buying a spa package (Shopify product, like this example) where there customer buys and checks out. Then they receive an email to redeem this and book the spa service later at their convenience (event or service in EAB).
Step 1: Access the Packages Setup
Open Easy Appointment booking and navigate to the dashboard
Select Sell a Package from the top right of your event list. This will take you to the Packages configuration page.
Step 2: Create a New Package
Click on Create New Package from the top right
Select the Product: Each package must be linked to a product that you sell on your Online Store. When a customer purchases this product, they will be able to redeem the events or services you select below.
Determine applicable events. Decide which events or services can be redeemed if this package is purchased.
Set Quantity of Each Service:
Define how many sessions or bookings the customer can redeem. For example, set “5” for a package offering five sessions of the same service.
Expiration (Optional):
Set an expiration period (e.g., 6 months from purchase) if there’s a timeframe for the customer to redeem their bookings. This can create urgency and encourage prompt scheduling.
Note: A package is live once your Shopify product is live
Step 3 (Optional): Set up Klaviyo flow for packages
Once a customer purchases We automatically generate the booking redemption page and send an email to the customer. However, if you prefer to send your own email content, template, and communicating the redemption link, it can be done via Klaviyo.
Go to Klaviyo, create a new flow, use the trigger Package purchased (Easy Appointment Booking)
Set up your flow accordingly. Use the variable {{ event.package_booking_link }}. See here for more
Step 4: Verify Package Purchase
From the Packages page, click View in Store so you can see your package
Make a test purchase. This will be like any other customer online purchase on your store.
View the packages. Each purchased package appears in the Manage Packages section of the app. Below that tracks all redeemed and available bookings for the packages purchased
Step 5: Verify Package Booking Redemption
Open Booking Package Email. After package purchase, a redemption email will be sent to the customer and cc you (modifiable using Klaviyo). View the redemption email
Click on redeem bookings to see which events you can make bookings for. The customer will be able to make as many bookings as you've defined in the package for these events
Make a booking to illustrate what the customer can see, including the bookings they've made, the number remaining, the bookings eligible to redeem, and the expiry.
Note: a tally of bookings redeemed and remaining is visible on the Manage Packages page
Assign Manual Bookings to Packages
You can now create manual bookings and assign them to packages. Ex: If a customer has purchased a package, and then comes into the store to redeem a booking for it.
From the Dashboard tab in our app, click on 'Add a Booking' next to an event that is assigned to a package.
Enter the customer's details, especially their email address, as we use this to pull up the package they purchased
Click on the dropdown under Package Assignment and choose the package to assign this manual booking to
Note: You can leave the dropdown blank to create a normal manual booking without assigning it to a package.
Tips to Promote and Managing Packages
Add your Logo on the Redemption page: In the Settings > General > Logo section, add your logo that would appear atop the redemption page
Promote the Package: Highlight your new packages on your Shopify homepage, in emails, and on social media to boost customer interest.
Track Redemptions: Through the Easy Appointment Booking dashboard, click on Manage Packages to monitor each customer’s usage to see how many sessions they have remaining.
Example Scenarios: Packages in Action
Consultation Services: Offer a “3 Consultation Package” that allows customers to book three separate consultations at their convenience. They purchase once, and the system tracks their remaining sessions.
Fitness Classes: Create a “10-Class Pack” where customers purchase ten classes upfront. They can log in and book classes as they go, perfect for flexible schedules.
FAQ
Where do I create the events for these packages?
Packages require events to be setup beforehand, so that customers have a booking to redeem. Create a standard event with your duration, availability, and other components. See here for how to set that up
How do I edit the name, add a description, and price my package?
The name, description, and price of the package are defined on your Shopify product used for this package. The customer is still purchasing a product like any other, but the product you select for packages will enable customers to redeem bookings later
How do I set the package live?
A package is live once your Shopify product is live
How do payments work?
The prepaid package itself is a paid product on your store and you receive payment when customers purchase the package on your storefront. When redeeming the booking later, the customer makes a booking without payment.
How do I edit the package redemption email?
Content can only be edited at this time using Klaviyo.
How do customers find their booking link?
This is available in the customer's initial product purchase email. If they ask you for the link, it's also available in the Manage Packages > Purchased Packages section, you can click on the Customer Booking Page to see what customers would see.
How do I archive a package?
What is the difference between a Subscription/Bundle and a Package?
While both are similar, the fundamental difference is that for a customer to purchase a subscription/bundle, they must book an appointment, whereas for a package, the customer can simply add it to their cart and checkout without being obligated to book an appointment at the time of purchase.
Can I assign manual bookings to packages?
Yes! See the Assign Manual Bookings to Packages section of this article above.
