Event bundles/subscriptions

Event bundles, packages, or subscriptions: letting your customers purchase multiple events or services at once.

Event Subscriptions let you sell multiple appointments up front by letting your customers prepay for several bookings. Your customers can make their first booking upon purchase and the remaining appointments post-purchase.

Some examples of event subscriptions are:

  • Selling a pack of 6 gym classes

  • Selling a pass of 6 winery tours redeemable throughout summer

Creating a subscription

To create a bundle, go to the Dashboard, and click on the dropdown beside the Create an event button. Select Create an event bundle.

Setting the number of redeemable bookings in a subscription

When creating a subscription, you must set a subscription size. This is the number of bookings that a customer can make once they purchase that subscription. For example, if you are selling a pack of 6 gym classes, your subscription size would be 6.

You can also set an unlimited number of bookings to be allowed in a Subscription. This is good for things like season passes, where a customer pays once for the whole season, and can redeem an unlimited number of times.

Selecting a variant

You may want to set up your event to sell single classes and subscription classes. For example, you may sell:

  • 1 Gym class day pass for $20.00

  • A bundle of 6 gym classes for $100

In this case, we recommend setting up product variants. Continuing the example, you would:

  • Create a product variant called “Single” and link it to a regular Event.

  • Create another product variant called “Pack of 6” and link it to an Event subscription.

📣 Tip: Make sure that the subscription size and the variant name matches. If your variant name is “pack of 6”, your subscription size should also be set to 6.

That’s it! After selecting a subscription size and a variant, your Event subscription will be created! Now, let's see how a customer purchases and manages a subscription.

Purchasing a subscription

In this example, we’ll be purchasing an Event Subscription for Australian City Day Tours. The subscription costs $200.00, but will let us make 6 bookings.

A customer can purchase a subscription just like they purchase a regular booking timeslot. To purchase a bundle:

  1. The customer must book 1 timeslot

  2. Upon booking a timeslot, the customer will see a message telling them that the additional timeslots can be booked post-purchase.

  3. The customer can check-out to confirm the timeslot.

When booking a timeslot for an Event Subscription, this (customizable) message is presented to the customer.

From this point, a customer can go to the cart page and purchase the subscription. Next, let’s look at booking appointments post-purchase.

Booking appointments after purchasing

Once a customer purchases a subscription, they will automatically receive a magic link in their email inbox. Clicking the link will take them to a portal where they can make the remaining bookings for the bundle.

Here is a sample order confirmation email for a subscription.

A magic link is sent to the customer when they purchase a subscription. This link can be used to made additional bookings post-purchase. Clicking on the link will take the customer to a portal that is personalized for their subscription. It takes the customer to a portal where they can see all of their bookings for the subscription.

From here, a customer can make a new booking. When a new booking is made, your availability is dynamically pulled just like it would be on your website.A customer can create an additional booking for their purchased subscription. Timeslots will change dynamically to ensure you are not double-booked.

Managing a subscription

Managing a bundle is very similar to managing existing events and bookings. Event bundles show up on the Easy Appointment Booking dashboard with a subscription badge next to them.

You can view all of your created events and bundles from the Dashboard.

Appointments that are made by your customers for a bundle show up in the Bookings tab. These appointments also have a subscription badge next to them.

If you click into a booking that is part of a subscription, you will be able to see more information about the status of the subscription, such as:

  • How many bookings have been redeemed by the customer

  • The link that the customer can use to create additional bookings

A booking for an Event Subscription shows you the state of that bundle and the magic link that the customer can use to book additional timeslots.

How Subscriptions work with existing paid plans

Event Subscriptions are available in our Pro and Pro Plus plans.

Pro: 1 Subscription which means 1 product/event where you can take unlimited subscription customers
Pro-Plus: 5 Subscriptions which means 5 product/events where you can take unlimited subscription customers for any 5 of your services.

Summary

Event Subscriptions let you sell groups of bookings, but give your customers the flexibility of selecting a time in the future. They are great for increasing your services revenue since you can collect payment up-front for bookings that will happen in the future. You can also grow your average order value by incentivizing your customers to purchase a subscription by offering a discount.

FAQ

  1. How do customers manage their bookings with me if they are on a subscription?

    1. Customers can access the subscription from their email confirmation. It’s a permanent, secure link that they can access where they can manage their bookings with you.

  2. Can I make appointments on behalf of the customer with a subscription?

    1. Yes, head to Dashboard > Add a Booking on your subscription event. You’ll have the option to add to an existing subscription or create a new subscription

  3. What if a customer cancels their first booking of a subscripion

    1. Cancelling their first booking is not an option, they must reschedule. This is only the case for the 1st booking. If they cancel, the entire subscription is canceled

  4. How does the payment work?

    1. When the customer purchases a subscription of bookings with you, the full payment is collected upon checkout. The bookings are redeemed later by the customer at no cost, since they've already paid up front.
